Key Roles & Responsibilities:

Tender Management:

  • Identify and track relevant government and PSU tenders through portals such as GeM, CPPP, e-Procurement portals, state government portals, etc.
  • Analyze tender documents (NIT, BOQ, RFP, RFQ) and assess eligibility, technical, and commercial requirements.
  • Coordinate with internal departments (Engineering, Accounts, Legal, Operations) to collect necessary inputs.

Documentation & Compliance:

  • Prepare, compile, and verify technical and commercial bid documents as per tender guidelines.
  • Ensure all statutory documents are updated and available (GST, PAN, MSME, ISO, EPF, ESIC, Turnover certificates, Balance Sheets, ITR, Bank Solvency, Experience Certificates, etc.).
  • Maintain a tender documentation repository and compliance checklist.
  • Ensure bids are submitted error-free and within deadlines.

E-Tendering & Submission:

  • Handle online bid submission, digital signatures, encryption, and portal uploads.
  • Resolve technical issues during online submission and coordinate with portal helpdesks if required.
  • Arrange EMD, tender fees, BGs, and coordinate with Finance/Bank.

Post-Tender Activities:

  • Track tender status, clarifications, corrigendum, and bid results.
  • Coordinate for post-bid clarifications, negotiations, L1 matching, and order acceptance.
  • Assist in preparation of contract agreements and work orders.

Record Keeping & Reporting:

  • Maintain tender MIS, submission records, and outcome reports.
  • Prepare periodic reports on tender participation, success rate, and pending tenders.
  • Ensure proper filing (physical & digital) of all tender-related documents.

Key Skills & Competencies:

  • Strong knowledge of government tendering procedures and documentation
  • Familiarity with GeM Portal & e-Procurement systems
  • Excellent documentation and drafting skills
  • High attention to detail and deadline management
  • Good coordination and communication skills
  • Basic financial and commercial understanding

Educational Qualification:

  • Graduate in Commerce / Business Administration / Engineering / Any relevant discipline

Experience:

  • 2–5 years of experience in handling government tenders and documentation
