Role Overview: You have an exciting opportunity to join a fast-growing team as a Team Assistant at mediasense, a global integrated marketing advisory company. In this role, you will play a crucial part in the HR function, supporting recruitment, onboarding, and employee engagement activities. Your responsibilities will include providing professional office support and ensuring a welcoming environment for visitors and staff. You will also be involved in various HR initiatives to enhance the overall office experience. Key Responsibilities: - Be the welcoming face for visitors and staff, ensuring a professional and friendly environment in the office. - Manage front of house duties, maintain meeting rooms, and provide snacks and treats for all occasions. - Handle all office deliveries and requests promptly to ensure excellent client service. - Proactively improve the office environment and enhance the experience for everyone. - Assist with recruitment administration, scheduling interviews, and coordinating candidate communications. - Support onboarding and induction programs for new employees. - Lead employee engagement activities in India and collaborate with the London Team Assistant on ESG initiatives. - Coordinate Long Service Awards and employee gifting programs to recognize and celebrate milestones. - Oversee Deskbird for office attendance and desk bookings, liaise with building management, and arrange travel for staff. - Reconcile monthly office expenditure and assist with facilities and maintenance coordination. Qualifications Required: - Experience in office support, administration, or HR coordination. - Strong organizational skills with the ability to manage multiple priorities effectively. - Excellent communication and interpersonal skills for interactions at all levels. - IT proficiency in MS Office/Google Workspace/Teams, with experience in expenses reconciliation preferred. - Familiarity with HR processes such as recruitment, onboarding, and projects would be advantageous.
