Team Assistant

Role Overview: You have the opportunity to join a fast-growing team as a Team Assistant at mediasense, a global integrated marketing advisory. Your role will be crucial in supporting the HR function and ensuring the smooth day-to-day running of the office. You will play a key role in recruitment, onboarding, and employee engagement activities, making you the go-to person in the office for colleagues and visitors. Key Responsibilities: - Be the welcoming and professional first point of contact for visitors at the London office - Manage all front of house duties, including ensuring well-presented meeting rooms and office snacks - Handle all office deliveries and requests promptly to provide excellent client service - Proactively enhance the office environment for a positive experience for everyone - Assist in recruitment administration, scheduling interviews, and coordinating candidate communications - Support onboarding and induction programmes for new joiners - Coordinate employee engagement activities in India and oversee ESG activities - Manage Long Service Awards and employee gifting programmes for a positive employee experience - Handle office attendance and desk bookings through Deskbird - Liaise with building management and suppliers for facilities and maintenance - Arrange travel for staff and reconcile monthly office expenditure Qualifications Required: - Experience in office support, administration, or HR coordination - Strong organizational skills with the ability to manage multiple priorities - Excellent communication and interpersonal skills to interact confidently with individuals at all levels - Proficiency in MS Office/Google Workspace/Teams; experience with expenses reconciliation is desirable - Familiarity with HR processes like recruitment, onboarding, and projects is a plus Additional Company Details: mediasense is a global, independent advisor that focuses on providing clarity, connection, and confidence to modern marketers.
