Job Title: Executive / Senior Executive – Spares Planning & Maintenance Procurement
Department: Maintenance / Supply Chain / Engineering Services
Reports To: Manager – Maintenance Planning / Head – Supply Chain
Role Summary: The role involves efficient planning, procurement, and management of spares and services to support smooth mechanical project execution, preventive maintenance, and capital shutdowns. The incumbent will be responsible for ensuring material availability, cost-effective inventory management, and adherence to safety and quality standards.
Key Responsibilities:1. Planning & Project Support: Ensure timely availability of spares and services for smooth execution of projects as per timelines.
Monitor and review mechanical construction progress to align with project schedules.
Ensure timely execution of Annual Maintenance Contracts (AMC) and other service-related requirements.
2. Spares & Maintenance Cost Management: Identify and procure critical spares, focusing on performance enhancement and cost efficiency.
Prepare spares planning for equipment, including routine replacements and capital shutdowns.
Drive indigenization of spares to reduce dependency on imports.
Arrange resources and spares for planned shutdowns and overhauls.
3. Inventory Management: Standardize spare part specifications to streamline procurement.
Manage vendor identification and development for critical items.
Plan spares procurement based on staggered delivery schedules to optimize inventory holding.
Focus on inventory cost reduction while ensuring operational readiness.
4. PR/SPR Management: Identify material specifications accurately for procurement.
Manage creation of new material codes in systems such as Mat-Genco or SAP.
Generate Material Purchase Requisitions (PR) and Service Purchase Requisitions (SPR).
Provide technical recommendations based on vendor capability, past performance, and credentials.
5. Safety & Health: Ensure availability and compliance with 100% safety requirements, including PPE and equipment safety items.
Coordinate and arrange training programs related to equipment, operations, and HSE (Health, Safety & Environment) for engineers and associates.
6. Documentation & Compliance: Maintain comprehensive IMS documentation, including statutory compliance, NCR closures, and audits.
Participate in and coordinate Business Excellence projects.
Ensure the implementation of 5S practices in spare storage, documentation, and workplace organization.
Desired Candidate Profile: Educational Qualification: Diploma / B.E. / B.Tech. in Mechanical Engineering, Industrial Engineering, or equivalent.
Experience:4–8 years of relevant experience in spares planning, maintenance procurement, project support, or supply chain roles in steel, manufacturing, power, or process industries.
Skills & Competencies: Technical Skills: Good understanding of spares management, procurement processes, mechanical equipment, and project planning.
Proficiency in ERP systems (e.g., SAP, Mat-Genco) and tools for material management.
Knowledge of inventory management techniques, vendor management, and cost control.
Behavioral Skills: Strong planning, coordination, and problem-solving skills.
Ability to collaborate with multiple teams like procurement, maintenance, stores, safety, and finance.
High attention to accuracy, documentation, and compliance.
Good interpersonal and communication skills.
