Senior Vendor Registration Specialist (Collection & Billing)

Overview:

The Vendor Registration Specialist plays a critical role in ensuring seamless onboarding and maintenance of vendor records across enterprise platforms such as Coupa, Ariba, SAP, and NetSuite. This position is responsible for managing vendor registration workflows, verifying documentation, and coordinating with internal teams to meet compliance and operational standards. The role also involves managing vendor-related tasks in NetSuite, resolving registration issues, and contributing to process improvements through data tracking and stakeholder collaboration. Success in this role requires strong organizational skills, attention to detail, and the ability to navigate cross-functional communications in a fast-paced shared services environment.

What you will do:

• Ensure seamless onboarding of vendors across multiple customer portals, including user access setup, password resets, and resolution of portal-related issues to maintain uninterrupted operations.
• Conduct thorough reviews and verifications of banking information, EFT/ACH forms, and compliance questionnaires (e.g., ethics, diversity, privacy) to uphold internal controls and meet regulatory standards.
• Act as a liaison between Sales, Billing, Collections, and external customers to resolve registration issues and support operational workflows.
• Coordinate with internal teams to validate vendor credentials and compliance requirements (e.g., ISO 27001, SOC reports).
• Create and manage tasks at various portals like NetSuite, Salesforce, Smartsheet at the invoice level for vendor-related actions.
• Track task volumes, reconcile invoicing (e.g., Brazil entity), and prepare monthly reports to support Shared Services performance reviews.
• Complete and update various customer questionnaires and entity details on portals.

What we are looking for:

• Possess 5 to 8 years of hands-on experience in managing end-to-end vendor registration processes across diverse platforms and customer environments.
• Equivalent experience will be accepted in place of the education requirement.
• Bechlor's degree or Master degree in commerce.
• You have well versed about Salesforce, NetSuite.
• Good communication skills – speaking, email writing.
• Able to handle internal and external users queries independently.
• Flexible to work in US Time Zone.
• Experience with vendor security assessments and InfoSec documentation
• Knowledge of global vendor onboarding practices and compliance standards.
• Ability to manage multiple priorities in a fast-paced environment.
