Work from Office (all 5 days)


Job Purpose

The Senior RFP Specialist is responsible for managing the end-to-end process of responding to Requests for Proposals (RFPs), Requests for Information (RFIs), and Requests for Quotations (RFQs) to secure new business opportunities for the organization. This role involves analyzing client requirements, coordinating with cross-functional teams, creating high-quality and compliant proposal documents, and ensuring timely submission. The RFP Specialist plays a critical role in presenting the company’s products, services, and capabilities compellingly and competitively, thereby contributing directly to revenue growth and client acquisition.


Roles & Responsibilities:

• Prepare proposals by determining concepts, gathering and formatting information, writing drafts, and obtaining approvals

• Determines proposal concept by identifying and clarifying opportunities and needs, studying requests for proposal (RFPs), and attending strategy meetings.

• Meets proposal deadline by establishing priorities and target dates for information gathering, writing, review, approval, and transmittal.

• Coordinates requirements with contributors and contributes proposal status information to review meetings.

• Gathers proposal information by identifying sources of information, coordinating submissions and collections, and identifying and communicating risks associated with proposals.

• Develops proposal by assembling information, including project nature, objectives/outcomes/deliverables, implementation, methods, timetable, staffing, budget, standards of performance, and evaluation.

• Writes, revises, and edits drafts, including executive summaries, conclusions, and organization credentials.

• Prepares presentation by evaluating text, graphics, and binding.


Qualifications:

• 10+ years of experience in RFP/Proposal Management.

• Bachelor’s degree in Business Administration, IT, or related field.

• Proven experience in RFP/RFI/RFQ management, proposal writing, or bid coordination.

• Strong command of written and verbal communication (clarity, conciseness, persuasiveness).

• Excellent research, analysis, and documentation skills.

• Ability to understand technical and business requirements and translate them into compelling proposals.

• Familiarity with procurement processes, compliance requirements, and government/corporate tendering.

• Proficiency in MS Office Suite (Word, Excel, PowerPoint).

• Basic understanding of project management and CRM tools (Salesforce, HubSpot).
