Job Summary

AIMS Institutes is seeking a dynamic and experienced

Senior Office Assistant

to join our administrative team. The ideal candidate will have a

strong background in academic or educational institutions

, excellent command over

MS Office tools, Google Workspace (Docs, Sheets, Drive)

, and possess exceptional

email handling and communication skills

. The candidate should be proactive, organized, and capable of supporting both faculty and administrative staff in a fast-paced educational environment.

Key Responsibilities

  • Manage daily office operations, documentation, and administrative support.
  • Draft and format official letters, circulars, reports, and other communications.
  • Maintain and update records and files (digital and physical).
  • Handle internal and external correspondence via email with clarity and professionalism.
  • Schedule and coordinate meetings, prepare minutes of meetings, and follow up on tasks.
  • Efficiently manage data using Excel/Google Sheets including formulas, reports, and tabulations.
  • Support academic departments in student documentation, coordination, and academic reporting.
  • Liaise with internal departments and external agencies as required.
  • Provide administrative assistance for events, admissions, examinations, and compliance documentation.
  • Ensure confidentiality and timely execution of tasks assigned by senior staff or faculty.

Key Requirements

  • Minimum 5 years of experience in an academic/educational institution (Mandatory).
  • High proficiency in Microsoft Office Suite – Word, Excel, PowerPoint, and Google Workspace – Docs, Sheets, Slides.
  • Strong command over email writing and formal communication (verbal and written).
  • Ability to handle multiple tasks with attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Strong interpersonal skills and a proactive approach to problem-solving.
  • Ability to work independently as well as collaboratively with different teams.
  • Professional demeanor, punctuality, and accountability in task management.

Preferred Qualifications

  • Graduate/Postgraduate Degree in any discipline.
  • Certification in MS Office / Google Workspace tools (desirable but not mandatory).
  • Familiarity with student management systems or ERP tools (added advantage).

Work Environment

This role is based on-site at

AIMS Institutes – Peenya Campus
