Apollo Radiology International (ARI) provides high-quality, safe, and efficient teleradiology services to healthcare providers. The Office Manager / Quality & Governance Administrator plays a vital role in supporting the smooth running of the governance office while ensuring robust quality systems and administrative processes are maintained.
This role requires exceptional organisational skills, excellent attention to detail, and advanced word-processing and document management abilities. The post-holder will provide efficient office management and governance administration, supporting compliance, patient safety, and continuous improvement across ARI.
· Oversee the day-to-day management of the Hyderabad UK support team, ensuring efficient workflows and documentation control.
· Organise meetings, prepare agendas, take accurate minutes, and circulate documentation in advance.
· Maintain central records, logs, and filing systems, ensuring compliance with ISO and QSI standards.
· Manage correspondence, schedule diaries, and act as a key point of contact for the Quality & Governance Manager.
· Support the logging, tracking, and escalation of clinical incidents, complaints, and risks, ensuring adherence to KPIs.
· Assist in the production of reports, summarising key themes and trends in incidents, complaints, and peer review outcomes.
· Maintain detailed and accurate timelines for incidents and support investigators by providing access to records and data.
· Assist with compliance activities, audits, and internal reviews to ensure ARI meets regulatory and accreditation standards.
· Work closely with the Recruitment & Engagement Manager to ensure all radiologists are fully compliant prior to commencing reporting.
· Maintain up-to-date compliance records, including professional registration, appraisals, right-to-work checks, and mandatory training.
· Track and monitor radiologists’ compliance status, highlighting any gaps and ensuring timely resolution.
· Liaise with radiologists and the Recruitment & Engagement team to collect, verify, and securely store compliance documentation.
· Support audits and internal reviews by providing accurate compliance evidence relating to radiologists’ onboarding and ongoing practice.
· Escalate non-compliance issues to the Quality & Governance Manager and Recruitment & Engagement Manager promptly, ensuring risks are managed effectively
· Liaise with service delivery and clinical teams to ensure governance requirements are consistently met.
· Provide cover for other governance administrative functions when required.
· Contribute to continuous improvement initiatives within the department.
