Job Description

Job Title: Secretary to Managing Director (MD)

Location: PGUS Private Limited,Kochi

Reporting To: Managing Director

Job Type: Full-time

Pay : 30-35K

Job Purpose

To provide high-level administrative and secretarial support to the Managing Director, ensuring effective communication, scheduling, documentation, and coordination across departments while maintaining a high level of confidentiality and professionalism.

Key Responsibilities

Administrative Support

Manage the MD’s calendar, appointments, and travel itineraries.

Organize and prepare for meetings, including agenda creation, document preparation, and minute-taking.

Screen emails, calls, and visitors; prioritize and relay messages appropriately.

Handle confidential correspondence and sensitive information with discretion.

Documentation & Communication

Draft emails, letters, memos, reports, and presentations as directed.

Maintain records, filing systems, and confidential files accurately.

Ensure timely follow-up on delegated tasks and projects.

Coordination & Liaison

Act as a point of contact between the MD and internal/external stakeholders.

Coordinate with various departments to gather required data and reports.

Facilitate smooth communication flow between MD’s office and all teams.

Travel & Event Management

Make travel arrangements, assist in planning and coordinating business events, conferences, and meetings.

Key Skills & Competencies

Excellent verbal and written communication skills

Strong organizational and time-management skills

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)

Ability to multitask and prioritize effectively

High level of discretion and confidentiality

Professional appearance and demeanor

Proactive, detail-oriented, and self-motivated

Qualifications & Experience

Master’s degree in Business Administration or a related field (preferred)

Minimum 3–5 years of experience in a similar executive assistant/secretary role

Experience working with senior leadership or in a corporate environment

Job Types: Full-time, Permanent

Pay: ₹300,000.00 - ₹350,000.00 per month
