Position: Purchase Executive( Interior/ Construction /Furniture)

Department: Procurement

Location: Office / Site Coordination

Reporting To: Purchase Manager / Director / Project Head

Key Responsibilities

1. Material Procurement (Interior / Construction / Furniture)

● Source and procure materials such as:

● Laminates, veneer, plywood, MDF, hardware fittings, glass

● Electrical fittings, plumbing items

● Paints, civil materials, POP, ceiling materials

● Furniture components, upholstery, foam, fabric

● Ensure materials match exact specifications, brands, and quality standards.

2. Vendor Identification & Management

● Develop and maintain a strong vendor database for all categories.

● Get competitive quotations from multiple vendors.

● Negotiate the best price, quality, and delivery timelines.

● Regularly evaluate vendor performance.

3. Purchase Order (PO) & Documentation

● Issue accurate POs based on BOQ, drawings, and site requirements.

● Maintain all purchase records: comparison sheets, quotations, bills, and delivery notes challan

● Track and update purchase logs and cost sheets.

4. Coordination With Site & Project Team

● Understand daily / weekly material requirements.

● Ensure timely delivery of materials to avoid site delays.

● Communicate delivery schedules with site engineers, contractors, and vendors.

5. Cost Control & Budgeting

● Monitor market rates for interior and construction materials.

● Prepare cost comparison sheets and negotiate price reductions.

● Manage budget constraints and avoid unnecessary purchases.

6. Inventory & Stock Management

● Maintain stock levels for frequently used materials.

● Update material inward/outward records.

● Coordinate with storekeepers to check available stock before ordering.

7. Quality Check

● Verify material quality before issuing payment approvals.

● Report defective or incorrect materials immediately and arrange replacements.

8. Billing & Payment Coordination

● Cross-check supplier bills with PO and delivery challan.

● Submit verified bills to the accounts team for payment processing.

● Maintain outstanding vendor payment list.

9. Compliance

● Follow company procurement policy and approval process.

● Maintain confidentiality of pricing and vendor database.

Skills Required

● Strong negotiation and communication skills

● Good understanding of interior, civil, and furniture materials

● Vendor handling experience

● Knowledge of GST billing, PO formats, and basic accounts

● Proficiency in MS Excel / Google Sheets

● Time management and multi-tasking ability

● Ability to handle site pressure and fast-paced requirements

Qualifications

● Graduate in any field (BBA / B.Com preferred)

● 2-3 years of experience in interior/construction/furniture procurement
