Job Description

Job Purpose:

The Purchase Executive will be responsible for handling procurement activities related to liquid storage terminal operations, including sourcing, vendor development, cost negotiation, and ensuring timely availability of materials and services to support uninterrupted plant and project operations.

Key Responsibilities:

  • Procure engineering, mechanical, electrical, instrumentation, and project-related materials required for fabrication and construction of SS & MS tanks, tank farms, and associated facilities.
  • Handle procurement of plates, paints, structural steel, and all metallurgy-related materials as per project specifications.
  • Identify, evaluate, and develop reliable vendors and service providers to support EPC project requirements.
  • Prepare and float inquiries, obtain quotations, and develop detailed technical-commercial comparison statements.
  • Coordinate with the technical/project team to ensure material specifications, service requirements, and quality parameters are met.
  • Negotiate prices, delivery terms, payment conditions, and contract terms with vendors to achieve cost-effective procurement.
  • Issue purchase orders and track the order status to ensure timely delivery of materials as per project timelines.
  • Follow up closely with suppliers for manufacturing progress, dispatch schedules, logistics arrangements, and documentation.
  • Coordinate with stores, QA/QC, project, and accounts teams for material receipt, inspection, GRN, and invoice processing.
  • Maintain accurate vendor records, procurement data, and material history in the ERP system.
  • Ensure strict adherence to company procurement policies, client specifications, and compliance requirements.
  • Support vendor audits, capability assessments, and annual vendor performance evaluations.
  • Maintain strong knowledge of metallurgy, material grades, standards, and testing requirements related to EPC fabrication activities.
  • Prepare and maintain MIS reports, procurement trackers, and documentation using Excel and Word.
  • Identify opportunities for cost optimization through strategic sourcing, bulk buying, and alternative vendor development.
  • Assist the project team in resolving issues related to material shortages, delays, or quality deviations.
  • Participate in encouraging suppliers flexibility with Purchasing team and Supply Manager.

Required Skills and Competencies:

  • Knowledge of procurement processes in industrial / tank farm operations.
  • Strong negotiation and communication skills.
  • Proficiency in MS Office and ERP systems (SAP / Tally / Oracle preferred).
  • Good understanding of technical specifications of mechanical and chemical items.
  • Ability to multitask and handle procurement for multiple projects simultaneously.
  • Team player with strong coordination and follow-up ability.
