Job Purpose:

The primary responsibility of the Project Manager is to oversee the efficient operation of the hotel desk. This role involves managing a team of front desk teams with bookings, payments, issue resolution and any other support required to improve the YWCA Guest House branding. The manager ensures exceptional customer service delivery, adherence to company policies and procedures, and optimization of operational workflows to enhance client satisfaction and achieve business goals.

Areas of responsibility include Front Office, Retail/Gift Shops, Housekeeping, Security/Loss Prevention, Maintenance, Food and Beverage/Culinary and Event Management, where applicable.

Position works with direct reports (Executive head and department heads) to develop and implement the operations strategy.

Responsibilities:

Ensuring Business Generation :

  • Contribute to hotel revenues through upselling/upgrading and sales of other services.
  • Develop and implement strategies to attract new guests and increase occupancy rates.
  • Promote the guesthouse through marketing and outreach efforts.

Managing Profitability and Budgets :

  • Reviews financial reports and statements to determine how Operations is performing against budget.
  • Ensures capital expenditure funds are being used to address the priorities outlined in the service strategy.
  • Works with direct reports to determine areas of concern and establishing ways to improve the departments’ financial performance.
  • Strives to maintain profit margins without compromising guest or employee satisfaction.
  • Identifies and analyzes operational challenges and facilitates the development of solutions to prevent reoccurrence.
  • Coaches and supports operations team to effectively manage occupancy & rate, wages and controllable expenses.
  • Reviews the Wage Progress Report and compares budgeted wages to actual wages, coaching direct reports to address problem areas and holds the team accountable for results.
  • Ensures that the maintenance of buildings and property is done on regular basis
  • Providing support to customers who may need to amend or cancel a reservation.
  • Making room reservations for the customers based on their various requirements and budgetary allowances.

Providing Operational Support:

  • Ensure compliance with health, safety, and sanitation standards.
  • Supports regular inspection tours of the entire facility for appearance, safety, staffing, security, and maintenance.
  • Support in team building, updating the staff on processes and practices.
  • Ensure staff is properly trained on systems, security and Guest Experience championing procedures, and service and quality standards.

Providing Documentation and Reporting Support

  • Assists managers in preparation of various reports and presentations.
  • Assists with the design and preparation of statistical reports as needed by the management.
  • Attends, transcribes and distributes minutes, and participates in staff meetings, executive committee meetings and department meetings as needed.
  • Maintains proper filing system.
  • Provides administrative support to manager/s and department.

Supporting Correspondence :

  • Ensure that all mails are responded to in a timely and professional manner.
  • Maintain decorum in addressing complaints and concerns of customers.
  • Ensure that timely communication with the Executive head and department heads are maintained.

Ensuring Exceptional Customer Service:

  • Providing services that are above and beyond for customer satisfaction and retention.
  • Managing day-to-day operations, ensuring the quality, standards and meets the expectations of the customers on a daily basis.
  • Attends meetings and communicates with executive and peers as an effort to improve quality of service

Job Type: Full-time

Pay: ₹480,000.00 - ₹840,000.00 per year
