Job Overview

Project Associate – Documentation

The role will manage, maintain, and streamline all project-related documentation, ensuring that all project data, process records, and official submissions are complete, accurate, and in compliance with government requirements.

1–2 years of experience

Key Responsibilities

1. Proposal & Presentation Development

  • Draft and format high-quality proposals, bid responses, and stakeholder communication documents in line with project and organizational objectives.
  • Create compelling presentations for government and partner meetings.
  • Ensure all written materials are accurate, well-structured, and aligned with branding and compliance requirements.

2. Documentation & Data Management

  • Maintain and update project data records using BI Dashboards, ensuring accuracy and completeness.
  • Prepare and organize documentation for key processes in the project lifecycle (mobilization, training, assessment, placement, etc.).
  • Maintain a well-structured digital and physical filing system with clearly labelled folders for easy retrieval.

3. Compliance & Government Submissions

  • Compile and format documents required for submission to government departments.
  • Ensure documentation meets prescribed formats and timelines.

4. Process Standardization

  • Develop SOPs, templates, checklists, and guidelines for consistent documentation practices across projects.
  • Support the project team in adopting standard operating procedures for record-keeping.

5. Reporting Support

  • Assist in generating periodic documentation reports for internal reviews and external audits.
  • Provide documentation support for project presentations and meetings.

Required Qualifications

Education:

  • Bachelor’s degree in any field

Experience:

  • 1–2 years of experience in documentation, data management, or project coordination, preferably in the skilling, livelihoods, or development sector with prior exposure to government sector projects.

Skills:

  • Strong proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Excellent attention to detail and organizational skills.
  • Familiarity with the skilling ecosystem in India will be an advantage.
  • Strong communication skills in English, Marathi, and Hindi.

Other Requirements:

  • Ability to work with large volumes of data and maintain accuracy.
  • Proactive and disciplined approach to meeting deadlines.
  • Willingness to coordinate with multiple stakeholders for data validation.
