Role overview
The Academic Operations Manager is responsible for smooth and high-quality academic delivery for JEE/NEET/Foundation batches across PW Vidyapeeth centres in Hyderabad, in alignment with PW pedagogy and standards. The role owns academic planning, execution, monitoring, and continuous improvement of student learning outcomes in coordination with faculty and centre leadership.
Key responsibilities
Academic planning and scheduling
● Prepare and maintain annual, monthly, and weekly academic planners for all courses and batches (JEE/NEET/Foundation), ensuring timely syllabus completion as per PW guidelines.
● Create and update lecture schedules, faculty timetables, and classroom allocation, optimising utilisation of faculty and infrastructure.
● Coordinate rollout of academic calendars, holiday plans, and revision/testing schedules across all Hyderabad centres.
Classroom delivery and faculty coordination
● Liaise with faculty to ensure effective delivery of lectures, doubt sessions, revision classes, and extra classes as required.
● Ensure availability and circulation of teaching plans, topic-wise coverage lists, and daily/weekly teaching targets to faculty.
● Track and report faculty adherence to plans, punctuality, and quality parameters, escalating gaps to Academic Head/Center Head where necessary.
Assessments, content and academic processes
● Plan and execute the complete testing ecosystem: scheduled tests, part tests, grand tests, mock exams, and analysis sessions.
● Ensure timely deployment of all academic content (DPPs, practice sheets, assignments, test papers, solutions, and answer keys) as per central guidelines.
● Standardise and monitor academic processes such as attendance marking, homework tracking, paper evaluation, and result publication across centres.
Student performance monitoring and interventions
● Track student performance data (attendance, test scores, subject-wise and topic-wise performance) and generate regular academic MIS for management.
● Identify weak, irregular, and high-potential students and implement targeted interventions like remedial classes, doubt clinics, mentoring, and parent meetings.
● Work with mentors and counsellors to drive improvement in results, retention, and student satisfaction.
Centre-level academic governance
● Conduct regular academic review meetings with faculty, mentors, and centre teams to review progress, issues, and action plans.
● Ensure academic discipline in classrooms (timings, decorum, implementation of rules, and exam protocols) in coordination with centre operations.
● Implement feedback mechanisms for students and parents regarding academics, and close the loop with corrective actions.
Coordination with business and central teams
● Coordinate with centre heads/business teams to align academic schedules with admission cycles, orientation, scholarship tests, and marketing events.
● Liaise with central academic/content teams for new course launches, curriculum updates, central tests, and academic initiatives.
● Support academic inputs for marketing, result promotion, and parent seminars as required.
Qualifications and experience
● Bachelor’s degree in Science/Engineering; Master’s degree or background in education/management preferred.
● 3–7 years of experience in academic operations/centre academics/academic coordination in the test-prep or K-12 segment, preferably JEE/NEET coaching.
● Strong data handling, planning, and stakeholder management skills with familiarity in using MIS/Excel/ERP tools for academic tracking.
Key skills and competencies
● Demonstrates excellent written and verbal communication skills for interacting with internal teams and all external stakeholders.
● Strong supervisory and leadership skills, with prior experience managing offi ce staff and teaching faculties in an academic setup.
● Hands-on experience in the academic and administrative management of Telangana Intermediate Colleges, including familiarity with relevant regulations and processes.
● Proven capability in student management and support, addressing academic and behavioural concerns, and coordinating with mentors and counsellors.
● Experience in general administration of educational institutions, including documentation, compliance support, and day-to-day centre governance.
● Ability to effectively communicate and coordinate with teachers, students, parents, and external bodies (such as boards, regulatory authorities, and partner institutions).
