Job Description

Role summary:

Key responsibilities:

  • Support Project Managers in daily project activities and act as the PMO coordination point across programs.
  • Maintain and govern project plans, timelines, schedules, risk/issue logs, change logs and decision registers.
  • Track deliverables, milestones, dependencies; drive follow-ups and escalations to ensure on-time closure.
  • Manage weekly timesheet collection, validation and reconciliation for onshore/offshore teams; track billable utilization and rolling forecasts.
  • Build and maintain dashboards for utilization, billing, forecast vs actuals, and other project KPIs; automate recurring reports where feasible.
  • Review project rate cards, billing inputs and support month-end reconciliation and audits (internal / ISO).
  • Coordinate with technical stakeholders (tech leads, architects), JIRA admins and PM tools teams to ensure accurate technical status and acceptance criteria.
  • Prepare client/management-ready presentations, MOMs and project summaries.
  • Drive PMO process improvements and standardization; implement automation (Excel macros, Power Automate, scripting) to reduce manual effort.
  • Support compliance and documentation needs for audits and SOW/MSP billing models.
  • Mentor/coordinate junior PMO analysts and manage vendor/SOW coordination (if in Lead capacity).

Required skills & qualifications:

  • Experience:

    6-11 years in PMO, Project Coordination or Project Management in IT/global delivery.
  • Project & technical collaboration:

    Demonstrable experience working with technical stakeholders and translating technical status to business/commercial outcomes.
  • Financials:

    Good understanding of forecasting, billable utilization, billing inputs and cost monitoring.
  • Tools & automation:

    Advanced Excel (pivot tables, INDEX-MATCH, basic macros), Power BI/Tableau, JIRA (admin experience preferred), MS Project, SharePoint, Asana. Experience with SAP S4/HANA / Fieldglass is a plus.
  • Process & governance:

    Experience supporting audits, maintaining governance artifacts and implementing PMO standards.
  • Communication:

    Strong written & verbal communication, stakeholder management and client interaction skills.
  • Education/certification:

    Bachelors in Engineering/related field; PMP / Prince2 / Agile / MBA preferred but not mandatory.
