Position Overview:

The Personal Assistant to the Managing Director will provide high-level executive, administrative, and operational support to ensure smooth functioning of the MD’s work. The PA will act as a key liaison between internal departments, external stakeholders, clients, vendors, and industry partners. Strong organizational skills, industry awareness, confidentiality, and the ability to manage multiple priorities are essential.

Key Responsibilities:

Executive Support:

· Manage and maintain the MD’s calendar, appointments, meetings, and travel schedules.

· Prepare meeting agendas, minutes, presentations, and reports.

· Handle confidential documents and correspondence with utmost discretion.

· Screen calls, emails, and visitors; prioritize and escalate matters when required.

Coordination & Communication:

· Coordinate with other department Heads for daily operational updates.

· Ensure timely follow-ups on pending tasks, decisions, and deadlines assigned by the MD.

· Communicate instructions and policies from the MD to concerned departments.

Documentation & Reporting:

· Draft letters, memos, purchase requests, and official communication.

· Assist in preparing MIS reports.

· Maintain and organize digital and physical files related to operations, contracts, and compliance.

Travel & Event Coordination:

· Make travel arrangements, accommodation bookings, and logistics support for the MD and senior team.

Office & Administrative Management:

· Oversee day-to-day functioning of the MD’s office.

· Ensure timely handling of bills, approvals, documentation, and compliance requirements.

· Manage personal tasks for the MD when required.

Qualifications & Skills Required:

· 3+ years of experience as Executive Assistant/Personal Assistant.

· Proficiency in MS Office (Excel, Word, PowerPoint).

· Good understanding of industrial documentation and compliance requirements.

· Excellent communication and interpersonal skills.

· Strong organizational and multitasking abilities.

· High level of professionalism, integrity, and confidentiality.

· Ability to work under pressure and meet deadlines.

· Age: 30-35 Years.
