Job Summary

We are looking for a highly organized, proactive, and detail-oriented Personal Assistant to the COO who will act as a strategic support partner. The role requires managing the COOs schedule, coordinating with internal and external stakeholders, tracking key deliverables, and ensuring smooth day-to-day operations at the leadership level.

Key Responsibilities

  • Executive Support

  • Manage the COOs calendar, meetings, appointments, and travel arrangements

  • Act as the primary point of contact between the COO and internal/external stakeholders

  • Prepare agendas, presentations, reports, MOMs, and follow-ups for meetings

  • Handle confidential and sensitive information with utmost discretion

  • Coordination & Operations

  • Coordinate with department heads (Sales, Operations, HR, Finance, Compliance) to track tasks and deadlines

  • Monitor operational updates, MIS reports, and performance dashboards

  • Follow up on action items, escalations, and priority initiatives assigned by the COO

  • Assist in reviewing SOPs, process improvements, and operational documentation

  • Communication & Documentation

  • Draft professional emails, internal communications, and official correspondence

  • Maintain structured records, files, trackers, and reports

  • Support compliance-related documentation and internal audits as required

  • Business & Strategic Support

  • Assist in planning reviews, leadership meetings, and operational discussions

  • Conduct basic research, data analysis, and competitor benchmarking when required

  • Support special projects, cross-functional initiatives, and leadership-driven tasks

Required Skills & Qualifications

  • Bachelors degree (MBA or equivalent preferred)

  • 25 years of experience as a PA / Executive Assistant / Operations Coordinator

  • Excellent written and verbal communication skills

  • Strong organizational, multitasking, and follow-up abilities

  • Proficiency in MS Excel, PowerPoint, Word, Google Workspace

  • Ability to work in a fast-paced, dynamic environment

  • High level of professionalism, confidentiality, and ownership

Preferred Experience

Experience working with CXOs / senior leadership

Exposure to consulting, professional services, legal, tax, or compliance firms

Strong understanding of business operations and reporting
