Job Overview

We are looking for a proactive and dependable Office Administrator to support the smooth day-to-day functioning. This role goes beyond routine desk work and requires someone who can handle multiple responsibilities, coordinate with various stakeholders, and take ownership of administrative operations. The ideal candidate is organized, resourceful, and comfortable being the central point of contact for office-related activities.

Key Responsibilities

Office Administration & Management


  • Manage office supplies and inventory, including stationery, pantry items, and other essentials.

  • Ensure the office environment remains clean, organized, and presentable at all times.

  • Oversee common areas and coordinate with housekeeping staff.


Vendor & Facilities Coordination


  • Liaise with external vendors such as housekeeping, maintenance, security, and equipment suppliers.

  • Obtain quotations, schedule services, and ensure timely completion of repairs and deliveries.

  • Coordinate with building management for facility-related issues including AC, plumbing, internet, and electrical work.


Travel & Logistics Support


  • Arrange business travel for employees, including flight/train bookings, hotel accommodations, and local transportation.

  • Manage travel itineraries and ensure smooth coordination for official trips.


Calendar & Meeting Management


  • Schedule meetings, manage conference room bookings, and set up virtual meetings (Zoom/Teams).

  • Assist in preparing meeting agendas, presentations, and required materials.


Administrative Support


  • Handle front-desk responsibilities such as answering calls, greeting visitors, and managing correspondence.

  • Maintain physical and digital filing systems, records, and documentation.

  • Draft, format, and organize reports, letters, spreadsheets, and presentations.


Basic Finance & Accounts Support


  • Assist with invoice processing, expense reimbursements, petty cash handling, and expense tracking.

  • Maintain basic Excel records for monthly office expenses and coordinate with the finance team as required.


HR Support Activities


  • Assist with employee onboarding, including workstation setup, ID cards, and orientation scheduling.

  • Maintain employee records and support interview or training coordination when needed.


Skills & Qualifications


  • Experience: 2 4 years of experience in office administration or a similar support role.



  • Technical Skills: Proficiency in Microsoft Office (Excel, Word, PowerPoint); strong working

    knowledge of Excel is essential. Familiarity with Google Workspace, Teams, or Slack is an advantage.



  • Organizational Skills: Strong multitasking ability, excellent time management, and attention to detail.



  • Communication: Good verbal and written communication skills in English (local language proficiency is a plus).



  • Financial Awareness: Basic understanding of invoices, expenses, and petty cash handling.



  • Problem-Solving: Practical, solution-oriented mindset with the ability to handle urgent issues calmly.



  • Reliability: Punctual, disciplined, and accountable with a strong sense of ownership.



  • Team Orientation: Ability to work independently while collaborating effectively with cross-functional teams.


Education:


  • Minimum 12th pass; diploma or certification in administration, office management, or a related field is preferred.
