Job Description

LOCATION - Gurgaon (travel readiness outside home residence is important) EXPERIENCE- Fresher Mandatory Skill Requirement - Good communication Operations Intern – Administration & Facility Support • Assist in supporting Property Management Operations across PAN India locations under supervision. • Support the strategy planning process and help communicate action points to respective Leads and teams. • Participate in brainstorming sessions to suggest innovative solutions for administrative issues. • Coordinate with the leasing team to understand and document technical and functional requirements. • Help in tracking and reporting actions to improve the quality of operations across sites. • Assist in reviewing policies and procedures, and contribute suggestions for enhancements when required. • Support day-to-day general administrative tasks including Housekeeping, Transport, Cafeteria, and Security services. • Help monitor and coordinate activities related to Pest Control, Courier Services, and Staff Catering. • Assist in ensuring vendor service levels are maintained and help track compliance as per agreements. • Contribute to budget tracking efforts and help identify cost-saving opportunities. • Monitor administrative processes, document improvement areas, and gather feedback for enhancing employee satisfaction. • Help in preparing and reviewing MIS reports related to facility operations as per set timelines and SLAs. • Assist in conducting statutory audit checks and ensure proper documentation is maintained. • Help compile and organize monthly, half-yearly, and annual reports on various facility management activities (e.g., equipment status, power usage, PPM schedules, incidents, soft services, pantry, transport, etc.). Asset Management: • Support the asset management process by maintaining records and tracking usage of site assets. • Help oversee facility operations involving HVAC systems, power controls, BMS operations, fire systems, and secure access. • Assist in coordinating with vendors/contractors for scheduled maintenance and repair work. • Interact with building maintenance personnel for basic compliance checks and maintenance coordination. • Update asset records in the online system and support the tracking of asset lifecycle for renewals or upgrades. • Assist in managing travel desk activities, including basic booking support and itinerary coordination. • Help monitor office supply levels, coordinate procurement, and manage vendor interactions under guidance. • Follow up on pending tasks, approvals, and ensure timely updates to the concerned teams. • Provide support in organizing office meetings, events, and conference room bookings. ROLES & RESPONSIBILITIES English proficiency (written and spoken) Proficiency in MS Excel and MS Word Effective communication and interpersonal skills Available for duration of 6 month
