Position Overview:

Operations Executive


Key Responsibilities:

  • Import Documentation & Compliance:

  • Prepare and manage import documentation, including Bill of Lading, Commercial Invoice, Packing List, and Customs Declaration.
  • Ensure all documentation meets USA customs regulations and Indian import policies.
  • Liaise with customs brokers for smooth clearance of shipments.
  • Shipment Coordination:

  • Track and monitor shipments from origin to destination, ensuring timely and cost-effective delivery.
  • Coordinate with shipping lines, airlines, and ground transport providers for scheduling and routing.
  • Resolve any shipment delays, discrepancies, or issues by coordinating with relevant stakeholders.
  • Client Communication & Customer Service:

  • Act as the point of contact for clients regarding import-related queries, providing timely updates on the status of their shipments.
  • Resolve any client issues related to import shipments, offering solutions and maintaining a high level of customer satisfaction.
  • Inventory & Warehousing:

  • Oversee inventory management for imported goods at warehouses.
  • Coordinate with warehouse teams for proper handling, storage, and delivery of goods.
  • Cost Management:

  • Assist in managing the budget for import operations, ensuring that costs are kept within budget and optimising transportation and handling fees.
  • Reporting & Data Management:

  • Maintain accurate records of all transactions, shipments, and import activities.
  • Generate regular reports for internal teams, clients, and senior management.
  • Problem Solving & Risk Management:

  • Identify potential issues with shipments, such as customs delays, missing documentation, or damaged goods, and resolve them promptly.
  • Assist in risk mitigation efforts, ensuring compliance with regulations and minimising the impact of delays or errors.
  • Requirements:

    • Experience:

    • Minimum 3-4 years of experience in freight forwarding or logistics, with a focus on import operations, particularly USA imports.
    • Knowledge:

    • Strong understanding of international shipping regulations, import documentation, customs clearance processes, and USA import procedures.
    • Familiarity with software such as ERP (Enterprise Resource Planning) systems.
    • Skills:

    • Strong organizational and multitasking abilities.
    • Excellent communication skills (both written and verbal) for client interactions and internal coordination.
    • Ability to work independently, with a proactive and problem-solving mindset.
