Job Description

Thornton Tomasetti s India office is seeking an Office Manager with at least 5-6 years experience to join our regional support team. The successful candidate will be directly responsible for the smooth running of all our people and office management operations in India. This challenging and varied position will involve handling a wide range of tasks and responsibilities for the India staff, while supporting members of the senior management team and other personnel, acting as the key administrative support. The position will require someone who is hands-on and well organized in their work. A strong communicator both verbal and written, along with good listening skills. The successful candidate will be adaptable, enjoy learning new processes and systems, with a can-do approach to all tasks. This is a fully in-office role and will be based in Pune.
 
Responsibilities
  • Organize and coordinate administration duties and office operations.
  • Maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication to improve company day-to-day operation.
  • Manage office administration and reception duties, including meeting schedules, conference room coordination, answering calls and greeting visitors.
  • Create and maintain the necessary requirements for a productive and safe workplace for employees and visitors.
  • Support staff and senior executive leadership with various administration tasks.
  • Assist Corporate Human Resources with local tasks such as onboarding of new employees.
  • Manage office supplies, utility providers, and general purchasing.
  • Assist with travel arrangements for staff.
  • Manage all office health safety related matters and ensuring all records are kept up to date for a productive and safe workplace for all employees and visitors.
  • Ensure office accreditations and registrations are maintained and renewed when required.
Requirements
  • Bachelor s degree is required.
  • Advanced English skills: listening, speaking, writing and reading.
  • Strong interpersonal and relationship building skills.
  • Experience in using Microsoft Office suite programs - Word, Outlook, Excel and PowerPoint.
  • Demonstrated ability to work well with others in fast paced, dynamic environment.
  • Highly developed interpersonal and communication skills in a positive and approachable manner.
  • Assist with special projects and other duties as assigned by the management.
  • 5-6 years of previous experience in an administrative role or similar position.
