Job Description

The Office Administrator plays a vital role in ensuring the smooth day-to-day operation of the office environment. This position involves managing administrative and clerical duties such as coordinating meetings, managing schedules, handling correspondence, supporting HR and finance activities, maintaining records, and organizing office resources. The ideal candidate will have a solid academic background with schooling under CBSE/ICSE boards, a master's degree (MBA) specialized in Human Resources, Finance, or Administration, and proficiency in computer applications. Additionally, excellent command of English in both written and spoken forms is a must to communicate effectively within and outside the organization.

Key Responsibilities

  • Oversee daily office operations to ensure efficiency and compliance with company policies.
  • Manage and replenish office supplies, coordinate vendor relations, and maintain office equipment.
  • Handle incoming calls, emails, letters, and direct inquiries to appropriate staff professionally.
  • Welcome and direct visitors with a courteous and professional approach.
  • Coordinate and schedule appointments, meetings, and travel arrangements for senior management.
  • Maintain and update databases and records, including financial, personnel, and customer information.
  • Assist with bookkeeping tasks, invoicing, bank deposits, and expense tracking.
  • Prepare reports, presentations, and official correspondence.
  • Support HR activities including onboarding/offboarding employees, managing employee records, and ensuring confidentiality.
  • Supervise and assist administrative team members when needed.
  • Ensure compliance with workplace safety standards and office policies.
  • Facilitate internal communication, office events, and interdepartmental coordination.

Educational Qualifications

Schooling: Must have completed schooling from CBSE (Central Board of Secondary Education) or ICSE (Indian Certificate of Secondary Education) board.

Higher Education: Must possess a Master’s degree (MBA) with specialization in one of the following fields:

  • Human Resources
  • Finance
  • Administration

Skills and Competencies

Technical Proficiencies:

Proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook.

Familiarity with office management software, and database management.

Basic bookkeeping and accounting software knowledge (optional but preferred).

Language and Communication:

Excellent written and spoken English skills are mandatory.

Strong communication and interpersonal abilities to interact effectively with all levels of staff, vendors, and customers.

Soft Skills:

Highly organized with the ability to multitask and prioritize efficiently.

Attention to detail and ability to maintain confidentiality.

Proactive, reliable, and capable of working with minimal supervision.

Leadership and team management skills to supervise junior administrative staff.

Problem-solving capabilities and adaptability to changing environments.

Experience

  • Minimum 3 years of relevant experience in office administration or a related administrative role is preferred.
  • Experience in HR, finance, or operational support will be an advantage.

Job Types: Full-time, Permanent

Pay: ₹19,716.87 - ₹25,735.40 per month
