Role Overview

The Factory Lead Desk & Dispatch Coordination Manager ensures smooth coordination between production, logistics, and sales teams. The role focuses on quotation execution, stock alignment, dispatch scheduling, and after-sales coordination ensuring that every customer promise made by the sales team is delivered efficiently.

Key Responsibilities

1. Order & Quotation Execution

  • Coordinate with the founders’ lead desk to verify and release quotations.

  • Track confirmed orders, ensuring timely updates on dispatch readiness.

  • Align production schedules with sales pipeline forecasts.

  • Maintain daily MIS of orders, dispatch status, and pending deliveries.

2. Dispatch & Logistics Coordination

  • Liaise with the factory, warehouse, and logistics partners to ensure smooth dispatch of drones, accessories, and franchise kits.

  • Create and manage delivery timelines for each confirmed order.

  • Coordinate packaging, QC, and documentation (invoice, warranty card, training schedule).

  • Provide real-time status updates to sales and management teams.

3. Inter-Departmental Communication

  • Act as the central liaison between the factory and the founders’ office for order status, delays, or customer escalations.

  • Track stock of drones, batteries, and spares to inform procurement and production teams.

  • Support after-sales and service teams by sharing order history and issue logs.

4. Reporting & Systems

  • Maintain factory-level dashboards: order pipeline, production vs. dispatch, delivery TAT, and pending issues.

  • Send daily summary reports to founders’ office and head of operations.

  • Help design and refine internal order management systems.

Ideal Profile

  • 3–6 years in factory operations, dispatch coordination, or sales operations support.

  • Experience in manufacturing, agri-machinery, or hardware production setups preferred.

  • Detail-oriented, process-driven, and highly organized.

  • Proficient in Excel, ERP tools, and CRM coordination.
