Job Description

We are seeking a detail-oriented and organized Invoicing Specialist to join our finance team. The Invoicing Specialist will be responsible for managing and processing invoices, ensuring accuracy and compliance with company policies and industry regulations. The ideal candidate will have excellent analytical skills, a strong understanding of accounting principles, and the ability to work effectively in a fast-paced environment.
Key Responsibilities
  • Invoice Management:
    • Prepare and issue invoices to customers promptly and accurately.
    • Review and verify invoice details, including billing addresses, product descriptions, and pricing.
    • Track and manage the status of invoices to ensure timely payment.
  • Reconciliation and Reporting:
    • Reconcile discrepancies in billing and payments with customers and internal departments.
    • Generate regular reports on invoicing activities, including aging reports and outstanding balances.
    • Assist with month-end and year-end closing processes.
  • Customer Communication:
    • Address customer inquiries regarding invoices and resolve billing issues.
    • Maintain professional and effective communication with customers to ensure satisfaction and prompt payment.
  • Compliance and Documentation:
    • Ensure all invoicing processes comply with company policies and industry regulations.
    • Maintain accurate and organized records of all invoices, payments, and correspondence.
  • Process Improvement:
    • Identify opportunities for streamlining invoicing processes and implementing best practices.
    • Collaborate with the finance team to enhance overall efficiency and accuracy in billing procedures.
Education and Experience
  • Bachelor s degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Proven experience in invoicing, billing, or a similar finance role.
  • Strong understanding of accounting principles and billing procedures.
  • Proficiency in accounting software and Google Workspace, particularly Google Sheets.
  • Excellent attention to detail and organizational skills.
  • Strong analytical and problem-solving abilities.
  • Effective communication and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
