Job Summary:
The Infrastructure and Technology Project Coordinator will play a crucial role in ensuring the smooth execution of IT infrastructure and technology projects by providing comprehensive administrative and logistical support. This position requires strong organizational skills, attention to detail, and the ability to communicate effectively with various stakeholders.
Key Responsibilities:
Project Support & Administration:
Assist Project Managers in developing and maintaining project plans, including timelines, tasks, and resource allocation.
Coordinate project schedules, resources, equipment, and information for various infrastructure and technology initiatives.
Create and maintain comprehensive project documentation, plans, and reports.
Organize and facilitate project meetings (kick-off, status updates, close-out), prepare agendas, and distribute meeting minutes.
Track project progress, identify potential delays, and proactively escalate issues to the Project Manager.
Communication & Stakeholder Liaison:
Act as a central point of contact and communicate project status to all participants and stakeholders.
Liaise with clients, internal teams (Sales, Operations, Engineering), and external vendors to identify project requirements and ensure alignment.
Facilitate clear and concise communication across all project members.
Resource & Vendor Coordination:
Coordinate internal resources and third parties/vendors for efficient project execution.
Monitor supply chain activities and inventory levels to ensure timely availability of materials and components.
Assist in managing vendor relationships and procurement processes.
Risk & Issue Tracking:
Identify potential project risks and issues, assisting in the development of mitigation strategies.
Monitor and track project expenditures to ensure projects remain within budget.
General Support:
Provide administrative support, including scheduling meetings, managing calendars, and preparing presentations.
Ensure compliance with project lifecycle phases and documentation
requirements.
Required Skills & Qualifications:
Bachelor's degree in Computer Science, Information Technology, Business Administration, or a related field.
2-5 years of experience in a Project Coordinator or similar role, preferably within an IT or technology environment.
PMP (Project Management Professional) certification is preferred. This demonstrates a strong understanding of structured project management methodologies crucial for supporting project teams effectively.
Exceptional organizational skills and attention to detail.
Strong verbal and written communication skills.
Proficiency in project management software (e.g., Jira, Asana, Trello) and Microsoft Office Suite (Excel, Word, PowerPoint).
Ability to work effectively with cross-functional teams and manage multiple priorities.
Problem-solving abilities and a proactive approach to issue resolution.
Basic understanding of IT infrastructure concepts is a plus.
Experience with documentation and report generation.
