Job Description

  • We are seeking a highly organized, proactive, and detail-oriented Assistant to support the OPUS ERP Programme Team . This role is pivotal in ensuring the smooth execution of a company-wide transformation programme.
  • Enterprise Resource Planning (ERP) is a unified software platform that integrates and manages core business processes such as finance, HR, supply chain, procurement, and manufacturing into a single system.
  • As we establish ourselves as an independent entity, we must transition from Unilever s legacy systems to our own integrated ERP platform. This transformation ensures that our operations are streamlined, scalable, and aligned with our strategic goals as a standalone company.
  • The ideal candidate will be a dynamic professional with strong coordination, communication, and problem-solving skills.
  • You will provide high-level administrative support to the OPUS Programme Lead and will play a key role in managing logistics, reporting, and governance for the ERP implementation programme. This is an exciting opportunity to work at the intersection of technology leadership and business transformation.
 
Key Responsibilities:
 
1. Executive Support for the OPUS Programme Lead:
  • Manage their calendar, scheduling meetings, and ensuring efficient time management.
  • Handle confidential information with discretion and professionalism.
  • Coordinate travel arrangements, expenses, and administrative tasks.
2. OPUS Programme Support Coordination:
  • Provide administrative and operational support to the OPUS leadership team.
  • Organize and facilitate programme meetings, workshops, and steering committee sessions, managing agendas and follow-ups.
  • Prepare Purchase Orders and drive them through the system including approvals from Infosec/Cyber as required
  • Assist in the preparation of status reports, executive presentations, and stakeholder communications.
  • Support onboarding for new OPUS project team members, ensuring they have the necessary tools and resources and upskill them in Ice Cream ways of working
3. Communication Stakeholder Engagement:
  • Act as a key liaison between the OPUS leadership team, OPUS programme stakeholders, and external partners.
  • Draft and distribute internal communications, newsletters, and updates to keep stakeholders informed.
  • Support change management initiatives by assisting with communication plans and engagement activities.
4. Project Logistics Event Management:
  • Manage logistics for ERP-related events, including workshops, training sessions, and team offsites.
  • Ensure seamless coordination between OPUS teams and business units during the ERP implementation.
  • Maintain programme documentation, ensuring accessibility and version control in shared repositories.
Qualifications Experience:
  • Experience: 5+ years in an executive assistant, project coordination, or programme support role, ideally in an IT or ERP environment.
  • Education: Bachelor s degree in Business Administration, Information Technology, or a related field preferred.
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Teams), project management tools (e.g., JIRA, Asana, Trello), and document collaboration platforms (e.g., SharePoint, Confluence).
  • Organization Multitasking: Ability to manage multiple priorities, work under pressure, and maintain attention to detail.
  • Communication Interpersonal Skills: Strong verbal and written communication skills, with the ability to interact confidently with senior executives and diverse teams.
  • Problem-Solving Initiative: A proactive mindset with the ability to anticipate challenges and take action before issues arise.
