Head/GM Facilities

Role & responsibilities:

• Lead all Technical and Soft services across projects
• Coordinate with other departments and stake holders to manage the smooth operations of complete facilities/Asset management.
• Assure that the policies, resolutions and other acts of are carried out across projects.
• Be knowledgeable of all Building Governing Documents, Rules and Regulations and general legal requirements
• Provide excellent customer service and maintain open lines of communication with fellow Associates, homeowners and Management
• Submission of weekly and monthly corporate and regional reports, as required
• Provide input with the preparation and submission of the Property Management Services (PMS) annual budget
• Be responsible for the daily implementation of the annual budget, perform general financial management and recordkeeping
• Attend regular meetings of the Directors, if any, to review the PMS fiscal and financial status
• Coordinate receipt and review of invoices for PMS with Finance to ensure timely payment of bills.
• Prepare specifications needed for all services required at the site viz. landscaping, M&E, security, housekeeping, trash, insurance, pool, etc.
• Negotiate vendor contracts for routine services, and take appropriate decisions as needed.
• Log work requests in PMS and generate work orders for maintenance staff and/or contractors.

• Manage bid process, review bid spec proposals and comparison spreadsheets and make decisions/ recommendations as appropriate.
• Oversee work performed by PMS vendors and manage vendor relations
• Create and consistently update appropriate maintenance and procedural manuals and conduct regular site inspections.
• Hire, supervise, train, schedule and evaluate other PMS staff

Preferred candidate profile

• Graduate with 16 to 24 years of experience in PMS
• Must have managed complete facilities(Soft & Technical)
• Excellent communication skills
