Job Title: Tender Executive Location: Mumbai Department: Sales/Business Development Reports To: Tender Manager/Business Development Manager Job Summary: We are looking for a detail-oriented and highly organized Tender Executive to join our growing team in the solar energy industry. The Tender Executive will be responsible for managing and overseeing the preparation and submission of tender documents for solar energy projects. This position requires strong knowledge of tendering processes, technical understanding of solar solutions, and excellent communication skills to work effectively with both internal teams and clients. Key Responsibilities: Tender Preparation: Prepare, manage, and review the complete tender documentation in response to RFPs (Requests for Proposals) or RFQs (Requests for Quotations) for solar energy projects. Coordinate with various departments (technical, legal, procurement, finance) to collect necessary data, specifications, and cost estimates for tender submissions. Ensure the timely and accurate submission of tender documents by coordinating with various stakeholders. Tender Evaluation & Compliance: Analyze tender requirements and ensure compliance with all technical, commercial, and legal aspects. Evaluate and cross-check tender specifications to ensure accuracy, completeness, and adherence to customer requirements. Work with the technical team to clarify and resolve any discrepancies or questions related to technical specifications. Cost Estimation & Pricing: Collaborate with the finance, Design and procurement departments to estimate costs and prepare pricing models for the tender submissions. Ensure the pricing is competitive while maintaining profitability for the organization. Review market trends and competitors prices to ensure the best value proposition for clients. Documentation & Reporting: Maintain accurate records of all tender documents, communications, and proposals. Keep a database of tender results, including successes and feedback for future improvement. Prepare reports and presentations on tender status, trends, and outcomes for internal stakeholders. Client and Vendor Liaison: Communicate with clients and vendors to clarify requirements, gather additional information, or provide necessary updates. Assist in clarifying any technical or commercial inquiries from the clients during the tender process. Project Handover: Once the tender is awarded, ensure a smooth handover of the project details to the project management team. Work closely with the project team to ensure that all commitments made in the tender are fulfilled during the project execution. Skills & Qualifications: Bachelors degree in Electrical Engineering, Mechanical Engineering, or a related field. A background in renewable energy or solar energy is a plus. Minimum 10+ years of experience in tendering or bid management, preferably in the renewable energy or solar industry. Strong understanding of solar energy technologies, systems, and project implementation. Excellent communication and negotiation skills. Proficiency in MS Office (Excel, Word, PowerPoint), and experience with tendering platforms and software. Attention to detail with the ability to manage multiple projects and deadlines. Strong analytical and problem-solving skills. Knowledge of industry standards, regulations, and compliance requirements related to solar energy. Desired Skills: Preferable from solar industry-specific pricing models and contract types. Experience in drafting and reviewing contracts, agreements, and other legal documents. Knowledge of EPC (Engineering, Procurement, and Construction) contracts and processes in the solar industry. Ability to work in a fast-paced environment and manage time effectively.
