Role - EA to CMD

The Executive Assistant to the CMD (EA-CMD) will provide high-level executive support, oversee guest relations, manage day-to-day schedules, and facilitate seamless communication and coordination on behalf of the CMD. The role requires exceptional organizational ability, refined hospitality skills, and the capability to act as the first point of contact for internal and external stakeholders. The EA will manage meetings, correspondence, travel, documentation, and confidential tasks while ensuring professional and efficient operations aligned with leadership expectations.

B. Key Responsibilities

1. Guest Relations

  • Welcome, host, and manage interactions with guests, clients, and partners, ensuring a seamless and premium experience.
  • Provide VIP-level hospitality support to high-profile visitors, executives, and dignitaries.
  • Coordinate hospitality arrangements including reception support, refreshments, meeting room readiness, and special requests.
  • Serve as a primary liaison between the CMD’s office and external stakeholders, maintaining a polished and professional brand image.
  • Leverage hospitality expertise to create a welcoming and service-oriented environment for all engagements.

2. Administrative & Office Management

  • Develop, manage, and maintain office systems including filing, documentation, and data management.
  • Screen phone calls, inquiries, emails, and correspondence; respond on behalf of the CMD wherever appropriate.
  • Manage CMD’s calendars, appointments, schedules, and ensure alignment of priorities.
  • Draft and prepare documents, reports, briefing papers, presentations, and communication notes.
  • Maintain confidentiality and handle sensitive information responsibly.

3. Travel & Meeting Coordination

  • Organize domestic and international travel, including visas, accommodation, itineraries, and logistics.
  • Travel with the CMD as required to provide support, take notes, or manage coordination.
  • Organize and attend meetings, ensuring the CMD is fully prepared with all required materials.
  • Take dictation, prepare minutes, and assist in follow-up actions.

4. Strategic & Executive Support

  • Conduct background research, compile information, and provide insights to support decision-making.
  • Manage specific projects, research assignments, and high-priority tasks as delegated by CMD.
  • Support budget and account-related activities as needed.
  • Manage delegated responsibilities in the CMD’s absence, ensuring continuity of operations.
  • Work closely with leadership teams to support strategic initiatives and executive communication.

C. Role Requirements / Specifications

Qualifications

  • Bachelor’s degree in

    Hospitality Management

    or a related discipline (preferred).

Experience

  • 12–20 years of relevant experience.
  • Strong background in the hospitality industry—especially in

    guest relations, front-office operations, concierge services, or VIP protocol

    .
  • Prior experience as an Executive Assistant, Administrative Coordinator, or similar high-level support role.

Knowledge & Skills

  • Polished, energetic, and positive demeanor with strong professional presence.
  • Exceptional interpersonal, communication, and customer-service skills.
  • Excellent multitasking ability and comfort in working under pressure.
  • Strong command of social media platforms and digital communication.
  • Highly organized with exceptional planning skills and attention to detail.
  • Proactive, punctual, and reliable with the ability to anticipate needs.
  • Proficient in preparing travel itineraries and coordinating logistics.
  • Willingness to travel with CMD as required.
  • Advanced computer proficiency (MS Office Suite, email tools, documentation tools).
