Job Description

As an Executive Assistant, you will play a crucial role in providing high-level administrative support to senior leadership ensuring seamless operations. Your proactive and detail-oriented approach will be essential in managing schedules, communications, meetings, and various tasks. Key Responsibilities: - Manage the executive's daily schedule, meetings, and appointments efficiently. - Prioritize and coordinate time-sensitive tasks effectively. - Handle incoming and outgoing communications on behalf of the executive. - Draft, review, and edit emails, presentations, and reports. - Maintain professional relationships with clients, stakeholders, and internal teams. - Organize and schedule meetings, prepare agendas, and take minutes. - Coordinate with multiple departments for effective follow-ups on action items. - Plan and book travel itineraries, prepare travel expense reports, and ensure timely reimbursement. - Manage confidential information with integrity and discretion. - Maintain files, records, and documentation for easy retrieval. - Act as a liaison between the executive and various departments. - Assist in organizing corporate events, conferences, or team off-sites. - Support the executive on ad hoc projects and initiatives. Qualifications and Skills: - Bachelor's degree or equivalent experience in business administration or related field. - 3-5 years of proven experience as an Executive Assistant or in a similar role. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools. - Strong written and verbal communication skills. - Exceptional organizational and multitasking abilities. - Ability to work under pressure and meet tight deadlines. - High level of professionalism, discretion, and confidentiality. Preferred Skills: - Experience using tools like Google Workspace, Slack, and Zoom. - Knowledge of expense management software. - Familiarity with project management methodologies (e.g., Agile).
