Job Description

Designation: EA to MD

The purpose of this role is to Act as the single-point operational partner to two Directors, ensuring flawless calendar control, stakeholder coordination, accurate expense governance, crisp communications, and on-time preparation of presentations/events. Enable faster decision-making by orchestrating information flow, HRMS/dashboard access, and cross-functional follow-through.

Key Responsibilities:

● Own both Directors’ calendars; eliminate clashes, build buffers, and pre-circulate agendas/pre-reads.

● Triage emails/calls; draft/respond on behalf of Directors where assigned; maintain action logs and follow-ups.

● Prepare meeting notes, decisions, and MoM with clear owners/deadlines; track closure.

● Managing calendars for two directors and ensure no clash of meetings

● Coordinate with various take holders for their time level ability for meetings with minimum delays

● Scrutinize employee expense vouchers against policies; flag discrepancies; ensure timely approvals.

● Maintain trackers for reimbursements, advances, vendor bills linked to Director approvals.

● Manage all forwarded incoming calls and co-ordinate with directors

● Responsible to manage email communication as assigned

● Assist directors in all business presentations that are exhibitions, investor meets, etc.

● Co-ordinate with all agencies for exhibitions

● Effective coordination with all relevant team members for interacting with directors

● Heading the employee engagement team activities and report to directors

● Facilitate Directors’ HRMS usage (approvals, org updates, leave, performance cycles).

● Pull/view dashboards (project status, sales funnel, cash flow snapshots, hiring status) and compile weekly briefs.

● Coordinate with relevant teams to resolve data gaps before reviews.

● Create simple SOPs for recurring Director-office processes.

Qualification: Any Graduate, MBA Preferred

Experience: Minimum 2 years+ as Executive Assistant to Director having 100+ employees or 100 Cr.

Skill Set:

- Excellent communication skills

- Strong Coordination skills

- Strong Email Management skills

- Comfortable with HRMS

- Draft a crisp MoM

- Hands on knowledge of AI Tools like ChatGPT etc.

Job Types: Full-time, Permanent

Pay: Up to ₹50,000.00 per month
