Requirements

We are seeking a proactive and highly organized Executive Assistant to provide comprehensive support to senior leadership. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, preparing reports, and ensuring smooth day-to-day operations for the executive office.

Key Responsibilities:

  • Manage and maintain the executive's calendar, appointments, and travel arrangements
  • Act as the point of contact between the executive and internal/external stakeholders
  • Prepare, review, and organize documents, reports, presentations, and correspondence
  • Handle confidential information with the utmost discretion
  • Plan and coordinate meetings, events, and conferences, including agenda preparation and follow-ups
  • Monitor emails and phone calls, ensuring timely responses on behalf of the executive
  • Maintain accurate records, files, and databases for reference
  • Assist in project coordination and track deliverables to ensure deadlines are met
  • Conduct research, compile data, and prepare briefings as required
  • Support in financial administration, including expense reports, vendor payments, and budgeting assistance
  • Ensure smooth office operations by coordinating with various departments

Qualifications & Skills:

  • Bachelor's degree in Business Administration, Management, or a related field
  • Proven experience (3-6 years) as an Executive Assistant, Personal Assistant, or in a similar role
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Zoom, Teams, Google Workspace)
  • High level of professionalism, discretion, and integrity
  • Ability to work independently and handle pressure in a fast-paced environment
  • Strong problem-solving skills and attention to detail.
