Job Description

Role & Responsibilities
  • Manage the CEO’s calendar end-to-end: prioritize meetings, coordinate cross-timezone scheduling, and enforce time-blocking for strategic work.
  • Prepare concise pre-read briefs, meeting agendas, talking points, and follow-up trackers to enable rapid executive decision-making.
  • Coordinate domestic and international travel logistics, itineraries, visas, and ground transportation while optimizing cost and executive time.
  • Serve as primary liaison for internal and external stakeholders—investors, board members, senior leaders—and manage confidential communications with discretion.
  • Organize and support board meetings, investor updates, and offsite leadership sessions including materials, minutes, and action-item tracking.
  • Own administrative processes: expense reporting, vendor coordination, office requests, and ad-hoc project support to remove operational friction for the CEO.

Skills & Qualifications

Must-Have

  • Proven experience supporting C-level executives, preferably CEO or Founder, in a high-growth environment.
  • Strong written and verbal English with experience drafting executive communications and briefings.
  • Demonstrated ability to handle confidential information with high discretion and professionalism.
  • Proficiency in Microsoft Outlook, Google Workspace, and calendar management for complex, multi-timezone schedules.
  • Experience managing travel logistics and expense reporting using common tools/processes.
  • Excellent organization, prioritization, and time-management skills with a bias for action and follow-through.

Preferred

  • Prior experience in technology, AI, or software startups.
  • Experience supporting board meetings and investor relations.
  • Familiarity with CRM platforms (e.g., Salesforce) or enterprise collaboration stacks.
