About the Role

We are looking for an Executive Assistant to the Founder who goes beyond a traditional “calendar & coordination” profile. This role sits at the heart of a luxury, design-led organisation, supporting a busy Founder across brand, business and creative responsibilities.


You will be the Founder’s right hand, guarding her time, streamlining her day, and ensuring that every interaction and engagement is handled with discretion, polish and precision. The environment is dynamic, detail-oriented and evolving, and we are looking for someone who is equally comfortable with structure and change.


Key Responsibilities


  • Calendar & Time Management

  • Own and manage the Founder’s calendar end-to-end: meetings, reviews, travel, personal and professional commitments.
  • Anticipate schedule needs, plan buffers, and ensure the Founder’s time is used thoughtfully and effectively.


  • Communication & Coordination

  • Manage emails, calls and messages on behalf of the Founder with impeccable written and spoken English.
  • Liaise with internal teams, clients, collaborators and external partners, ensuring information is accurately captured and shared.
  • Prepare succinct briefs, meeting notes, follow-up summaries and action trackers.


  • Documentation & Presentation

  • Draft, refine and proofread presentations, documents and communication decks for internal and external meetings.
  • Maintain organised digital records of key documents, references and communication.


  • Travel, Events & Engagements

  • Plan and coordinate travel itineraries, hotel stays and logistics for the Founder when required.
  • Support in planning and coordinating events, shoots, exhibitions and key client engagements.
  • Be open to travelling with the Founder for important events or meetings, if and when needed.


  • Operations & Follow-Through

  • Track action points from meetings and ensure timely follow-up and closure.
  • Assist with expense reports, reimbursements and other executive-level administrative tasks.
  • Handle confidential and occasionally personal tasks with complete discretion and maturity.


  • Process & Efficiency

  • Proactively recommend tools, systems and methods to make the Founder’s day and the organisation’s workflows more efficient.
  • Be comfortable working in an environment that values both tradition and innovation, and is continuously evolving.


Desired Profile


  • 3–5 years of experience as an Executive Assistant / Office Coordinator / Admin / Operations support (we are looking for someone reliable, agile and eager to grow).
  • Bachelor’s degree or equivalent.
  • Exceptional communication skills

    – clear, polished and confident in both spoken and written English.
  • Strong presence and grooming

    – presentable, poised and comfortable representing a luxury brand in professional settings.
  • Highly organised, detail-oriented and dependable; you naturally follow through until things are completed.
  • Comfortable with

    technology and digital tools

    – Google Workspace / MS Office is essential.
  • A plus if you are

    comfortable working within the Apple ecosystem

    – using iOS-based products such as iPhone, MacBook, iMac or other Apple devices.
  • Ability to handle multiple priorities calmly and gracefully in a fast-paced environment.
  • High integrity, emotional maturity and respect for confidentiality.
  • Prior experience in luxury, creative, design, hospitality or high-end client-facing environments will be an added advantage.
