Location: Mohali Work Mode: Work from Office Experience: 1–2 Years Preferred Candidate: Female Industry Preference: Healthcare Job Summary We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive administrative, coordination, and operational support to senior leadership. The ideal candidate will have strong communication, documentation, and research skills, along with the ability to manage multiple priorities in a fast-paced healthcare environment. Key Responsibilities Calendar & Meeting Management Plan, schedule, reschedule, and manage the executive’s calendar. Coordinate meetings with internal and external stakeholders. Prepare meeting agendas, presentations, and ensure all required documents are available in advance. Communication & Correspondence Screen, prioritize, and respond to emails, calls, messages, and visitors. Draft and send routine professional correspondence on behalf of the executive. Travel & Logistics Management Arrange travel including air/train tickets, hotels, visas, and local transportation. Prepare detailed itineraries. Support expense tracking, claims, and reimbursements. Documentation & Reporting Prepare, format, and edit reports, presentations, briefs, and meeting minutes. Maintain accurate digital and physical filing systems. Create high-quality presentations and research-based reports. Coordination & Follow-ups Track action items from meetings and ensure timely follow-ups with teams. Coordinate with multiple departments to meet deadlines and priorities. Office & Administrative Support Manage executive-related office requirements, vendor coordination, and small budgets. Supervise junior administrative staff when required. Confidentiality & Compliance Handle sensitive information such as contracts, HR matters, and strategic documents with the highest level of professionalism and discretion. Required Skills & Qualifications 1–2 years of experience as an Executive Assistant or similar role. Strong proficiency in MS Office (Word, Excel, PowerPoint). Excellent communication, coordination, and time-management skills. Strong research, analytical, and presentation abilities. Ability to multitask and work independently.
