Job Description

Key Responsibilities

1. Calendar & Schedule Management

  • Manage and update the Directors daily and weekly schedules.
  • Conduct a

    daily 30-minute meeting

    with the Director to review the schedule and priorities.
  • Take appointments with clients and new prospects through cold calling.

2. Travel Coordination

  • Book flight tickets, hotel stays, and plan travel itineraries.
  • Handle calls forwarded during Directors travel, deep work hours, and hotel check-ins, following all rules and procedures.

3. Task & Team Follow-Up

  • Follow up with team members to ensure timely completion of tasks.
  • Follow up with the Director to ensure his tasks are completed.
  • Maintain and update the Task Management Software, Google Tasks, and reminder systems (phone alarms, apps, etc.).
  • Coordinate processes within the system and ensure team compliance with regular tasks.
  • Coordinate with Sales Team and Prepare a Sales Reports 

4. Project & Work Support

  • Assist the Director in his work, projects, documents, and activities.
  • Research new topics on Google and prepare reports.
  • Create flyers for festivals, holidays, and special days (Diwali, Christmas, etc.).
  • Help with sales processes, quotations, and follow-up with clients.

5. Vendor & Logistics Management

  • Obtain quotes from vendors, compare rates, and follow up until delivery and installation are complete.
  • Manage driver scheduling, expenses, and timings.

6. Personal Assistance

  • Handle household-related tasks such as plumbing, electrician work, and coordination with service providers until completion.

7. Communication & Reporting

  • Act as a communication bridge between the Director and the team (no direct decision-making authority).
  • Send

    daily work reports

    via email and WhatsApp to the Director.
  • Manage the Directors LinkedIn account professionally.

  • No lies must maintain authenticity, honesty, and transparency.
  • Maintain confidentiality and professionalism at all times.
  • No personal friendships with colleagues (to avoid influence on work output).
  • Must not forget tasks — use systems and tools to track everything accurately.
  • Strong learning attitude and willingness to acquire new skills.
  • Should be proactive, detail-oriented, and dependable.
