Job Description

Firefly Pumps Pvt Ltd is seeking a detail-oriented and proactive Administrative Executive to join our team. The successful candidate will provide comprehensive administrative support to ensure the smooth and efficient operation of our office. This role requires excellent organizational skills, the ability to handle multiple tasks, and a high level of professionalism.

Key Responsibilities:

  • Office Management:

    • Manage office supplies inventory and place orders as necessary.
    • Ensure the office is clean, organized, and equipped with necessary supplies.
    • Oversee maintenance of office facilities and equipment.
  • Administrative Support:

    • Handle phone calls, emails, and other communications.
    • Schedule appointments, and meetings, and manage calendars for senior management.
    • Prepare and distribute meeting agendas, minutes, and other relevant documents.
    • Assist with travel arrangements and itineraries for staff and visitors.
  • Documentation and Reporting:

    • Maintain and update company databases and records.
    • Prepare reports, presentations, and correspondence as required.
    • Manage filing systems and ensure confidentiality of sensitive information.
  • Human Resources Assistance:

    • Assist in onboarding new employees.
    • Coordinate and assist with company events, training sessions, and activities.
  • Customer Service:

    • Greet and assist visitors, clients, and suppliers.
    • Address and resolve general inquiries and provide information as needed.
    • Support the sales team with administrative tasks and customer follow-ups.
  • Financial Administration:

    • Assist in processing invoices, expenses, and other financial documents.
    • Coordinate with the finance department for budget tracking and reporting.
    • Handle petty cash and ensure proper documentation.


Requirements

Qualifications:

  • Education:

    • Bachelor s degree in Business Administration, Management, or related field.
  • Experience:

    • Minimum of 2-3 years of experience in an administrative or office management role.
    • Experience in the manufacturing or industrial sector is a plus.
  • Skills:

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent verbal and written communication skills.
    • Strong organizational and time management abilities.
    • Ability to work independently and handle confidential information with discretion.
    • Detail-oriented with strong problem-solving skills.
