Dispatch Executive

Job Summary:The Dispatch Executive will be responsible for ensuring all finished goods are accurately picked, packed, and dispatched as per customer requirements. The role involves coordinating with production, stores, and transport teams to ensure timely deliveries—both domestic and export—while maintaining packing quality, documentation accuracy, and cost efficiency. Key Responsibilities:Plan and oversee daily dispatch schedules for part-load and full-load shipments. Ensure all materials are picked, packed, and labeled according to company and client guidelines. Verify product dimensions, weights, and quantities before dispatch. Calculate packing dimensions and cost using unit conversions (inches, feet, cm, etc.). Coordinate with transporters, freight forwarders, and customers for dispatch planning. Prepare and maintain dispatch documentation — delivery challans, invoices, packing lists, gate passes, etc. Handle export shipment documentation, including proforma invoice, commercial invoice, packing list, bill of lading/airway bill, certificate of origin, and customs clearance forms. Ensure compliance with export norms, packing standards, and HS codes. Track shipments and maintain proper dispatch records in system or ERP. Liaise with accounts and stores for dispatch clearances, transport payments, and POD tracking. Ensure safe loading/unloading practices and minimize transit damages. Support in inventory management, warehouse housekeeping, and logistics audits. Skills & Competencies:Good understanding of dispatch operations, packing standards, and logistics coordination. Knowledge of domestic and international shipment procedures. Familiar with export documentation and Incoterms (FOB, CIF, EXW, etc.). Ability to calculate packing volume, weight, and cost using basic measurement conversions (inches, cm, feet, etc.). Strong communication, coordination, and follow-up skills. Working knowledge of MS Excel, ERP systems, and transport documentation. Attention to detail and ability to work under tight timelines.
