Bid Specialist

Job Summary:

The Bid Executive is responsible for supporting the preparation, coordination, and submission of high-quality proposals and tender responses to win new business opportunities. This role requires strong organizational skills, attention to detail, and the ability to work under pressure to meet deadlines.

Key Responsibilities:

• Tender Management:

• Identify, track, and manage relevant bid opportunities via online portals and internal sources.
• Analyze client requirements and ensure all bid documentation is compliant and complete.
• Support end-to-end bid process: from PQQ (Pre-Qualification Questionnaires) to ITT (Invitation to Tender) and RFP (Request for Proposal) submissions.

• Bid Writing & Coordination:

• Collaborate with subject matter experts to gather necessary technical and commercial inputs.
• Draft, edit, and format bid content, ensuring clarity, consistency, and alignment with brand and tone of voice.
• Coordinate the production of final bid documents, ensuring on-time delivery.

• Documentation & Administration:

• Maintain a library of standard bid content, templates, and case studies.
• Support post-bid activities including client feedback analysis and lessons learned sessions.
• Track the progress of submitted bids and provide regular reporting on status and outcomes.

• Team Collaboration:

• Work closely with sales, marketing, legal, finance, and operational teams to gather input and ensure accurate information in bids.
• Participate in kick-off and review meetings, supporting the Bid Manager in planning and strategy.
