About the Role:

We are seeking a dynamic and enthusiastic Travel and Events Assistant Manager who is passionate about travel, corporate events, and celebrations. This role is ideal for an individual who enjoys planning, organizing, and creating memorable experiences for employees and business partners. You will manage comprehensive travel arrangements and curate exceptional company events, retreats, and gatherings. Reporting directly to the Senior Manager Marketing, Travel & Communications, you will play a pivotal role in enhancing travel and event experiences across the organization.

Key Responsibilities:

Travel:

  • Develop, implement, and oversee adherence to company travel policies.
  • Efficiently manage global travel logistics, including flights, trains, transportation, and hotel accommodations.
  • Negotiate optimal rates with vendors, ensuring cost-effectiveness.
  • Maintain regular communication with travelers to provide logistical updates.
  • Professionally manage emergency changes or cancellations.
  • Process and manage visa applications promptly.
  • Handle incoming travel requests and manage associated processes.
  • Oversee company credit card programs, charges, and reimbursements.
  • Maintain detailed records of expenses and travel budgets.

Corporate Events:

  • Strategize and implement the vision for company and partner events, including employee engagement activities, annual picnics, team-building sessions, trainings, dealer meets, and offsite meetings.
  • Execute end-to-end event planning and management, including travel logistics and communications.
  • Manage budgets, revenues, and resources effectively for each event.
  • Collaborate closely with executive leadership and cross-functional teams to align event goals.
  • Maintain relationships with partners and vendors for venue selection, production, branding, and onsite logistics.
  • Gather and analyze feedback to evaluate event success, identify improvement areas, and optimize future events.

Qualifications:

  • Bachelor's degree (any discipline).
  • Minimum of 3 years' experience in a similar role.
  • IATA certification and proficiency in AMADEUS systems are strongly preferred.
  • Demonstrated expertise in domestic and international ticketing.
  • Experience in independently processing E-Visas with a solid understanding of Schengen, US, and UK visa protocols.

Skills Required:

  • Exceptional interpersonal communication skills.
  • Strong understanding of travel industry operations.
  • Ability to manage multiple projects simultaneously.
  • Knowledge of travel regulations and policies.
  • Proven negotiation skills.
  • Competency in maintaining vendor relationships.

  • Prior experience coordinating complex travel arrangements.
  • Previous employment within the travel industry.
  • Proficiency in digital data management systems.

Technical Skills:

  • Proficiency with Microsoft Office Suite.
  • Familiarity with telecommunications systems.
  • Experience using travel software and online reservation systems.
  • Ability to navigate and utilize various travel portals.
