Manager / Assistant Manager Administration & Executive Assistant to MD

Basic Qualification: Graduation (any discipline)
Experience: Minimum 10 12 years in administration, office management, or executive support roles.
Maximum CTC: Rs. 8L to Rs. 10 LPA (Depending on experience and qualifications)
Role Overview:
We are looking for a dynamic, organized, and proactive individual to manage overall office administration while also providing high-level executive support to the Managing Director. The ideal candidate will have a strong background in administrative operations, excellent communication skills, and the ability to multi-task efficiently in a fast-paced work environment.
Key Responsibilities:
Office Administration & Facility Management
Oversee daily office operations, upkeep, and maintenance to ensure a smooth and professional work environment.
Manage office service contracts and coordinate with vendors for maintenance, housekeeping, and general office support.
Maintain proper liaison with building management and facility providers.
Insurance Coordination
Coordinate with insurance agents for medical insurance coverage of employees.
Handle onboarding for new employees under the insurance policy and manage claim processing and reimbursements.
Travel & Logistics
Arrange domestic and international travel, including flights, taxis, and hotel bookings.
Maintain updated corporate hotel rates and travel records for employees.
Office Supplies & Inventory Management
Maintain and monitor pantry supplies, stationery, and office inventory to ensure availability and cost-efficiency.
Ensure hygiene and cleanliness across the office and pantry areas.
Mobility & Parking Management
Maintain employee mobile usage records and coordinate mobile allowances as per company policy.
Administer company car parking spaces for optimal utilization.
Support to Accounts & HR
Assist the accounts team in preparing customer invoices, checking terminal departure reports, and managing office-related expense invoices.
Manage attendance, overtime records, and ensure accurate tracking for payroll processing.
Executive Assistant to MD
Provide end-to-end secretarial and administrative support to the Managing Director.
Manage scheduling, calendar coordination, travel plans, meetings, and correspondence for the MD.
Ensure smooth communication between the MD’s office and internal/external stakeholders.
Skills & Competencies Required:
