Job Description

This position is responsible for providing administrative and operational support to project teams, ensuring seamless coordination across sustainability consulting engagements. The incumbent will manage project documentation, coordinate schedules, maintain project management systems, and support internal teams with day-to-day administrative tasks in a fully remote setting.

Key Responsibilities

  • Manage and maintain project management tools (e.g., Asana, Trello, Notion, ClickUp, or similar platforms) to track deliverables, timelines, and milestones.
  • Coordinate meeting schedules, prepare agendas, take minutes, and follow up on action items across multiple projects.
  • Organize and maintain project documentation, client files, and internal knowledge repositories.
  • Support project teams with administrative tasks, including report formatting, presentation preparation, and data organization.
  • Facilitate internal communication and ensure timely information flow between consultants, researchers, and clients.
  • Assist with invoice tracking, expense management, and basic financial documentation.
  • Coordinate logistics for virtual and occasional in-person meetings, workshops, or events.
  • Maintain organized records of project timelines, deliverables, and team availability.


Qualifications

  • 1-3 years of experience in administrative support, project coordination, or operations roles.
  • Strong working knowledge of project management tools (Asana, Trello, Monday.com, Notion, or similar).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Excellent organizational skills with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills in English.
  • High attention to detail and commitment to meeting deadlines.
  • Self-motivated and able to work independently in a remote environment.


Preferred Skills

  • Prior experience in consulting, research, or sustainability sectors is a plus.
  • Familiarity with document collaboration tools (Google Drive, Dropbox, SharePoint).
  • Basic understanding of ESG or sustainability terminology is advantageous.
  • Experience coordinating cross-functional or remote teams.


Reporting and Collaboration

  • Reports to and works directly with Directors on strategic projects and operational priorities.
  • Supports consultants, researchers, and project managers across various client engagements.
