Job Description

 Core Administrative Responsibilities Documentation & Record Keeping: Manage and maintain all essential store paperwork, including invoices, bills, receipts, purchase orders, and sales records. Handle general office administration tasks like filing, data entry, correspondence (emails/calls), and managing schedules/appointments. Prepare and submit regular performance reports (daily, weekly, monthly) on sales, stock levels, and administrative activities. Coordination & Communication: Liaise and coordinate effectively with suppliers, vendors, internal departments (e.g., Accounts, HR, Purchasing), and head office. Assist the management team in implementing company policies and operational strategies. Office Management: Oversee office maintenance and ensure the availability of necessary store supplies (e.g., stationery, cleaning materials). II. 📦 Store Management & Inventory Control Inventory Management: Take overall responsibility for the store's stock, including receiving, unloading, and shelving supplies/merchandise. Conduct stock checks, physical counts, and audits to ensure accurate inventory records (often using an ERP system or internal database). Monitor stock levels, coordinate with purchasing to define minimum stock requirements, and place orders as needed to prevent stockouts or overstocking. Control the movement of stock, rotate inventory, and manage the disposal of damaged or surplus items. Store Operations: Ensure the store environment is clean, organized, and safe for both employees and customers. Implement and enforce security and loss prevention (LP) policies to secure merchandise and assets. Ensure compliance with all legal and company operational requirements. III. 🧑‍🤝‍🧑 Staff & Customer Support (Varies by Company) Customer Service: Handle customer queries, concerns, and complaints professionally, or ensure staff is trained to do so. Team Support: Oversee daily tasks and potentially assist in scheduling and assigning duties to store staff. In some smaller setups, this role might also assist with basic HR functions like new employee onboarding or relaying HR issues to the main department. Cash Handling (Retail Context): Oversee cashier operations and ensure proper cash handling and banking procedures are followed.
