Key Responsibilities

  • Administrative Support:

    Assist management and staff with correspondence, calendar management, meeting scheduling, and document preparation.
  • Office Coordination:

    Oversee daily office operations, including supplies, equipment, and facility management.
  • Communication Management:

    Handle phone calls, emails, and internal/external communications, ensuring timely and professional responses.
  • Document Management:

    Organize and maintain company files and records (both physical and digital) in compliance with policies.
  • Meeting & Travel Coordination:

    Schedule meetings, prepare materials, and arrange travel for senior executives.
  • Data Entry & Reporting:

    Prepare reports, spreadsheets, and presentations while ensuring accuracy of data.
  • Vendor Management:

    Coordinate with vendors for office supplies and services, maintaining proper records of orders and payments.
  • HR Support:

    Assist with onboarding new employees, maintaining personnel files, and supporting engagement initiatives.
  • Compliance & Safety:

    Ensure adherence to health, safety, and regulatory requirements within the office.


Preferred Skills & Qualifications

  • Previous experience in a fast-paced office environment (2–4 years).
  • Knowledge of HR functions, payroll systems, or basic HR operations.
  • Familiarity with project management tools and office software (MS Office, Google Workspace, etc.).
  • Basic knowledge of bookkeeping or finance is a plus.
  • Strong organizational, multitasking, and communication skills.
  • Ability to work independently and handle confidential information with integrity.
