The Accounts Receivable & Accounting Assistant is responsible for supporting the accounting department by ensuring timely and accurate cash application, reconciliation of accounts, and effective communication with customers regarding payments. This role also monitors and assigns workflow tickets, assists account managers, posts late payment fees, and provides a high level of customer service to resolve billing and payment inquiries.
• Process and track returns and declined transactions, notifying customers and internal teams as needed.
• Perform cash application, ensuring payments are accurately applied to customer accounts.
• Conduct regular account reconciliations to resolve discrepancies and maintain accurate records.
• Monitor incoming tickets and assign them to the appropriate team member for resolution.
• Provide customer service support by addressing billing questions, payment inquiries, and account issues promptly and professionally.
• Send email notifications of late payments to customers, following established collections procedures.
• Post late payment fees in accordance with company policies.
• Assist account managers with administrative support and customer account management.
• Maintain detailed documentation of all account activity and communications.
• Support month-end close activities related to accounts receivable.
• Bachelor’s degree in Accounting, Finance, or related field preferred; will consider candidates with five (5) years of experience in accounting and/or accounts receivable in lieu of a degree.
• Proficiency in Microsoft Excel (pivot tables, lookups, formulas, and data analysis).
• Familiarity with accounting or ERP software (e.g., QuickBooks, NetSuite, SAP, or similar).
• Strong organizational skills with excellent attention to detail and accuracy.
• Effective written and verbal communication skills.
• Customer-focused mindset with proven problem-solving abilities.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
