Job Description

1. Purpose of the Role

The Tender Manager is responsible for managing the complete tendering process, including identifying suitable tenders, preparing and submitting compliant and competitive bids, coordinating with internal teams for technical and commercial inputs, and ensuring adherence to ISO procedures and timelines. This role plays a critical function in securing new projects and maintaining the company’s bidding standards in line with legal and regulatory requirements.

2. Key Responsibilities

  • Identify, evaluate, and track relevant public and private sector tenders for solar EPC and supply projects.
  • Study and interpret tender documents including technical specifications, commercial terms, eligibility criteria, and compliance requirements.
  • Coordinate with engineering, procurement, legal, finance, and project departments for bid inputs.
  • Prepare pre-qualification documents, technical submissions, commercial offers, and tender summaries.
  • Manage the entire submission process including e-tender portals, offline documentation, and physical bid submissions.
  • Interact with government authorities, PSUs, and private clients to seek clarifications and attend pre-bid meetings.
  • Ensure all bid documentation is reviewed, approved, and submitted within the stipulated deadlines.
  • Maintain and update a centralized tender database, bid status tracker, and submission archives.
  • Conduct post-tender follow-ups, manage clarifications, and support negotiation or award stages.
  • Ensure all bidding activities are conducted in strict accordance with ISO guidelines and internal SOPs.

3. Required Qualifications and Skills

The ideal candidate must hold a Bachelor's degree in Engineering, Business Administration, or equivalent. A minimum of 4–7 years of experience in handling tender processes, preferably in the renewable energy, infrastructure, or EPC industry, is essential. The candidate must be proficient in reading and interpreting tender documents and possess strong organizational and coordination skills.

  • In-depth understanding of public and private tendering processes
  • Ability to manage multi-departmental coordination
  • Strong written communication and documentation skills
  • Proficiency in e-tender portals, government bidding platforms, and MS Office
  • High attention to detail and compliance orientation
  • Time management and ability to meet strict deadlines
  • Working knowledge of ISO 9001 documentation processes

5. Key Performance Indicators (KPIs)

  • Number of tenders successfully submitted per month or quarter
  • Win ratio of submitted tenders
  • Timeliness and completeness of bid submissions
  • Accuracy and quality of technical and commercial documentation
  • Compliance with internal review, approval, and ISO procedures
  • Responsiveness to post-bid queries.

6. Authority

The Tender Manager is authorized to coordinate with internal departments for bid-related inputs, communicate with tendering authorities, and finalize submission documents within defined limits. The role may recommend commercial and technical deviations to the senior management for approval.

7. Responsibility

The Tender Manager holds full responsibility for the preparation and timely submission of all tenders, ensuring they are complete, compliant, and aligned with strategic business goals. The individual must ensure adherence to client specifications, company policies, and ISO documentation standards.

8. Health, Safety and Environment (HSE)

While the role is largely office-based, the Tender Manager must ensure all documentation, especially for site-related tenders, reflects proper safety compliance. Awareness of ISO 45001 safety procedures is mandatory, especially when preparing HSE-related bid sections.

9. Training and Development

The Tender Manager must participate in training programs related to bid process management, ISO documentation, legal compliance, government e-marketplace (GeM) usage, and industry-specific regulations. Ongoing learning on updated bidding norms and formats is essential.

Job Type: Full-time

Pay: Up to ₹1,200,000.00 per year
