Job Summary

Tender Document Specialist

Key Responsibilities

Tendering & Bidding

  • Identify, review, and assess relevant railway tenders (via GEM, IREPS, CPP, etc.)
  • Coordinate and prepare tender documents including pre-qualification (PQ), expressions of interest (EOI), request for proposal (RFP), and request for quotation (RFQ)
  • Ensure complete compliance with tender requirements including technical and commercial conditions
  • Collect and collate necessary documentation such as certifications, past performance records, financials, etc.
  • Interact with various departments (technical, finance, legal) for content input and approvals
  • Format and submit bids online and/or offline as required

Sales Profile & Marketing Collaterals

  • Develop and maintain the companys sales profile for railway clients
  • Create brochures, capability statements, case studies, and technical presentations specific to the rail sector
  • Draft tailored proposals and value propositions aligned with client needs (metro, freight, infrastructure, signaling, etc.)
  • Assist in client presentations and pre-bid meetings with government officials

Client and Market Engagement

  • Monitor and research upcoming projects, procurement trends, and new opportunities in the railway sector
  • Maintain relationships with procurement officers, consultants, and project heads
  • Participate in industry events, expos, and seminars relevant to railway infrastructure

Key Skills & Competencies

  • Strong knowledge of Indian Railways, PSU tendering processes, and procurement portals
  • Excellent written and verbal communication skills
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint)
  • Ability to interpret technical documents, drawings, and commercial terms
  • High attention to detail and organizational skills
  • Time management under tight submission deadlines

Qualifications

  • Bachelors Degree in Engineering, Business Administration, or a related field
  • Minimum 3–5 years of experience in tendering/sales documentation within the railway or infrastructure sector
  • Knowledge of tender submission portals (GEM, IREPS, CPPP, etc.) is essential
  • Experience working with public sector undertakings (PSUs) is preferred

Preferred Industry Experience

  • Railway infrastructure (Track, Electrification, Signaling, Rolling Stock)
  • EPC Contractors and Consultants (RITES, IRCON, RVNL, DMRC, etc.)
  • Public Procurement and Government Projects
