Tender-Billing Executive

Job Summary:
We are seeking a highly organized and detail-oriented Tender-Billing Executive to join our team in the horticulture industry. The Tender-Billing Executive will be responsible for managing the tender process, including preparing and submitting bids, coordinating with internal teams, and ensuring compliance with client specifications and responsible for assisting with billing and invoicing tasks related to horticultural and landscaping projects. The ideal candidate will have experience in tender management, billing process, excellent communication skills, and a strong understanding of horticultural products and services.

Key Responsibilities:

• Tender Preparation & Submission:
• Manage the end-to-end process of preparing, reviewing, and submitting tenders for horticultural projects.
• Ensure that all tenders are submitted within the deadlines, and in compliance with the specifications and requirements set by the client.
• Coordinate with various departments such as procurement, technical, and legal to gather necessary information for bid preparation.
• Prepare technical, financial, and legal documentation for submission.
• Tender Documentation & Compliance:
• Review tender documents to ensure they meet the client’s requirements.
• Conduct research to stay updated on industry trends, regulations, and client needs to strengthen bid submissions.
• Ensure that all required documents, certificates, and licenses are included in the tender.
• Client & Supplier Coordination:
• Liaise with clients to clarify specifications and address any queries related to tenders.
• Collaborate with suppliers and vendors to obtain competitive pricing and product information for bids.
• Negotiate terms and conditions with suppliers to ensure the most favorable terms for the company.
• Post-Tender Activities:
• Track and follow up on the status of submitted tenders.
• Prepare reports on tender outcomes, and provide feedback and analysis to improve future submissions.
• Ensure the proper filing and documentation of all tenders for future reference.
• Market Intelligence & Strategy:
• Research and analyze competitors’ offerings, pricing strategies, and market trends to ensure the company remains competitive in tender bids.
• Assist in the preparation of market analysis reports and strategic plans for future tender opportunities.
• Billing & Invoicing:
• Assist in preparing detailed bills and invoices for horticultural projects, landscaping contracts, and other related services.
• Ensure that all billing information is accurate, complete, and aligned with project specifications, contracts, and client agreements.
• Maintain accurate records of all invoicing, payments, and billing correspondence.

Required Skills and Qualifications:

• B.tech (Civil), B.Tech in Agriculture or a related field.
• 2+ years of experience in tender management, procurement, billing process or a similar role, ideally within the horticulture or agriculture industry.
• Must have own bike
• Strong understanding of horticultural products, services, and industry standards.
• Excellent written and verbal communication skills with an ability to prepare high-quality proposals and tender documents.
• Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and tender management software.
• Ability to work independently and as part of a team.

Preferred Qualifications:

• Experience in the horticulture industry or agriculture-based tenders and billing process.
• Knowledge of local and international regulations and standards in horticultural procurement.

Familiarity with contract management and legal requirements in the tender process.

Job Type: Full-time

Pay: ₹20,000.00 - ₹25,000.00 per month
