This role involves close coordination with aggregators (KC, GEEBEE, and others), universities, embassies, and students/parents to ensure visa success with high accuracy and minimal rejections. The ideal candidate is not only technically strong but also highly responsible and accountable, recognizing that each case directly impacts a student’s future. A strong sense of data privacy, integrity, and attention to detail is essential in this role. Key Responsibilities 1. Visa Documentation & Application Manage end-to-end visa application process for multiple countries. Scrutinize student files – financials, academics, SOPs, LORs, ITRs, property valuations, bank statements – to ensure embassy compliance. Identify risks in documents and advise corrective measures before submission. Take full ownership and accountability for the accuracy and quality of every student file, as errors directly impact student careers. Guide students in preparing embassy-compliant documentation. Coordinate with aggregators (KC, GEEBEE, etc.) for streamlined visa lodgement. 2. Policy & Compliance Stay updated on immigration policies, embassy guidelines, and regulatory changes across 25+ visa regimes. Ensure VXU Global maintains zero non-compliance cases. Uphold the highest standards of data privacy and confidentiality when handling sensitive student and family information. Build internal SOPs and checklists for different country visas. 3. Counseling & Guidance Counsel students and parents on visa requirements, timelines, and realistic success probabilities. Conduct mock visa interviews and prepare students for embassy interactions. Provide pre-departure visa guidance (dos and don’ts, travel regulations). Demonstrate empathy and responsibility in student interactions, ensuring trust and confidence. 4. Coordination & Partnerships Liaise with embassy representatives, VFS offices, aggregators, and universities for seamless processing. Build strong relationships with aggregators to stay aligned with best practices. Act as the in-house subject matter expert for Sales Counselors and Application Officers. 5. Operational Excellence Maintain accurate visa success dashboards and track rejection reasons for continuous improvement. Design country-wise visa readiness guides for internal training and student use. Support process improvements to reduce TAT (Turnaround Time) and improve student experience. Required Skill SetStrong knowledge of visa processes and regulations for major study destinations (USA, UK, Canada, Australia, Europe, etc.). Hands-on experience in preparing visa files, especially financial documents (bank statements, ITRs, property valuations). High sense of responsibility and accountability for outcomes, treating every file as a student’s career-critical step. Strong commitment to data privacy, confidentiality, and ethical handling of sensitive information. Excellent attention to detail – ability to identify even small discrepancies in documents. Strong counseling and interpersonal skills to guide students and parents through stressful processes. Ability to conduct mock interviews and train students on embassy interview skills. High coordination and multitasking skills, managing multiple stakeholders. Proficiency with MS Office / Google Workspace for documentation and tracking. Qualifications & Experience Any Graduate/Postgraduate Mandatory 5+ years of direct visa processing experience with an EdTech, Study Abroad consultancy, or immigration firm. Prior exposure to USA, Canada, UK, and Australia visa systems is a must. Familiarity with student aggregator platforms (KC, GEEBEE, etc.) will be a strong plus. What We OfferA leadership opportunity to establish and run in-house visa processing at VXU Global. Exposure to multiple international visa regimes and student markets. Competitive salary + performance incentives linked to visa success rates. Growth path into a Visa & Compliance Head role as VXU expands globally.
