Job Profile:

Office Management:

  • Overseeing daily office operations, maintaining office tidiness, and managing office supplies and equipment.
  • Manage professional and personal scheduling for Country Head / Director, including travel booking, hotel booking and other company logistics.
  • Manage senior executives travel logistics and activities, including accommodations, transportation, and meals
  • Provide administrative and office support, such as spreadsheet creation maintenance of filing system and contacts database.
  • Maintain professionalism and strict confidentiality with all materials.
  • Organize team communications and plan events, both internal and off-site.
  • Manage the Office independently.
  • Manage the flight booking and Hotel booking for staff who travel frequently.
  • Order and arrange the meal for guest.
  • Handle and manage all type of admin work.
  • Understanding the IT requirements of the staff and catering to it and co-ordinate with HO if required.
  • Sourcing of Housekeeping material and handle the other office administrative work.
  • Office Maintenance with the help of Office Boy

Scheduling & Calendar Management:

  • Organizing meetings, appointments, and corporate events, and managing complex executive schedules.

Documentation & Reporting:

  • Developing and maintaining filing systems, preparing regular reports and presentations, and taking meeting minutes.

Record Keeping:

  • Maintaining accurate records, documents, and databases, including employee and contract information.

Data Entry & Analysis:

  • Entering data into systems and spreadsheets and performing basic data analysis to support decision-making.

Support Functions:

  • Providing administrative support to other departments (e.g., HR, Finance), assisting with travel arrangements, and managing vendor relations, Travel itinerary management & bookings.

Managing Exit Formalities:

  • Handling resignations and exit processes. This ensures the off boarding process is handled respectfully, maintaining the companys reputation and encouraging future rehires.

Communication:

  • Handling phone calls, directing visitors, managing correspondence, and serving as a liaison between departments and with clients.

Desired Profile:

  • Graduate in any discipline (preferred: Business Administration/Management/Commerce) with 8 to 12 yrs of experience in Administration / Front Office Management with preferably in a Pharmaceutical or Healthcare environment.
  • Familiarity with pharma industry compliance and audit requirements will be an added advantage.
  • Age group in between 30 to 35.
  • Any Male / Female Candidate.
  • Knowledge of office administration, vendor management, and facility management.
  • Professional grooming, customer service orientation, and confidentiality.
  • Demonstrating strong time management and multitasking abilities to handle numerous projects.
  • Strong organizational and multitasking ability.
  • Possessing excellent verbal and written communication skills, with strong interpersonal abilities.
  • Being highly proficient in MS Office (Word, Excel, PowerPoint, Outlook) and other office management tools.
  • Exhibiting a meticulous approach to tasks, ensuring accuracy and high quality.
  • Demonstrating the ability to address operational challenges and resolve administrative issues efficiently.
  • Upholding the integrity and professionalism required to handle sensitive and confidential information.
